POSITION SUMMARY: The Receptionist is responsible for all front desk operations including the phone system and paging. They answer all incoming calls and redirect them to the appropriate party. The Receptionist greets and gives directions to visitors and guests. In addition, the Receptionist supports clerical activities.
RESPONSIBILITIES/ACCOUNTABILITIES:
Phones
Receives and directs incoming calls professionally and courteously.
Maintains and prints list of telephone numbers for all personnel, list of department extensions, names of key personnel, and their extensions.
Mail
Coordinates outgoing and incoming mail.
Check the night drop box daily.
Scans and distributes materials to appropriate personnel.
Sends and tracks certified mail.
Lending Library
Maintains and tests kit lending library by coordinating and distributing test materials to providers, reviewing kit content upon return, and collecting all necessary fees.
Maintains lending library inventory under the direction of the Administrative Assistant.
Orders test protocols as needed.
Scanning and data entry
Scans billing documents to the appropriate locations.
Scans and mail billing invoices every month.
Office and Kitchen Supplies
Maintains the inventory of office supplies, and places orders promptly this includes but is not limited to:
a. General office supplies (e.g., letterhead, copy paper, pens)
b. Mailing supplies
c. Kitchen and cleaning supplies (e.g., coffee pods, sponges, gloves)
Other Responsibilities
Organizes creates, and distributes Metro Therapy ID Badges to active providers.
Assists with data entry and file maintenance, as required.
Puts customer service first: Ensures that providers and families receive the highest quality of service in a caring and compassionate atmosphere that recognizes the individuals' needs and rights.
Meets current objectives and positions the organization for future growth. Completes daily tasks and assignments and processes large volumes of work associated with the operation of the department.
Builds positive relationships based on respect for others. Demonstrates a helpful, positive attitude. Maintains effective communication with all staff.
Meets and exceeds expectations of internal and external customers. Meets all organizational and departmental standards regarding quality of performance. Demonstrates a strong commitment to confidentiality. Participates in quality improvement programs as directed.
Demonstrates an awareness of and adherence to safety and legal requirements with an emphasis on maintaining a safe environment for all persons working at Metro Therapy.
Report any accidents, injuries, and unsafe equipment and conditions to the supervisor by the end of the shift and report any pre-existing conditions as identified by the ADA.
Immediately reports and corrects, if possible, unsafe conditions or equipment.
Compiles with relevant regulations, standards, and policies governing a safe workplace environment (OSHA, JCAHO, etc.).
Maintains current knowledge of all aspects of Metro Therapy's safety program by attending safety-related training as mandated upon hire and thereafter as required.
Accepts modified work assignments after receiving the physician's release to return to work following an accident/ injury.
Follows the prescribed/recommended treatment given by treating physician(s) after an accident/injury.
Participates in required in-service and educational programs on an ongoing basis.
Follows all Metro Therapy guidelines outlining standards of attendance and punctuality. Responsible for reporting to and completing work at assigned times.
Universal precautions will be observed to prevent contact with blood or other potentially infectious materials.
Performs other related duties as required.
