Qualifications: High School Diploma
- Post high school clerical training and/or experience
- Excellent word processing skills
- Knowledge of bookkeeping/recordkeeping procedures
- Knowledge of computer systems
- Knowledge of standard office equipment
- Positive participant in a team environment
Function: Manage the main office and provide support to the building by assisting in all areas under the principal’s responsibility. Serve as the liaison between the principal and students, staff, and community.
RESPONSIBILITIES
General Office
- Word processing – Ability to use office software (i.e.- Microsoft Office, PowerSchool)
- Filing
- Answer telephones, take messages, and forward it to appropriate party.
- Sort Mail
- Performs the usual office routines and practices associated with a productive and professional office.
- Visitor sign-in procedures
Office Management
- Assist parents and community as necessary.
- Maintain accuracy and meet timelines for District and State reporting including but not limited to:
- Free & Reduced lunch counts
- Meal count edit forms
- Fall Housing Report/Year End Report
- Staff Lists
- Phone tree
- Attendance reports for General State Aid
- Student demographic data for ISAT, etc.
- Maintain building calendar on website
- Type and copy monthly newsletter
- Maintain key inventory
- Emergency sub calling
Finance
- Maintain activity accounts under the Principal’s supervision.
- Make appropriate bank deposits.
- Reconcile monthly bank statements.
- Manage imprest funds. (i.e.- write checks, reconcile, fund reimbursement report, etc.).
- Track and count lunch money and make deposit.
- Report lunch counts daily to Food Service.
- Disburse petty cash and maintain accurate records.
- Review purchase orders and check in materials to invoices.
Students & Staff
- Enter, track, and assist in managing daily attendance for students and staff
- Maintain substitute teacher records.
- Prepare student schedules.
- Prepare student & teacher handbooks.
- Prepare and manage student registration packets and mailing.
- Prepare report cards and associated activities (i.e.-Honor roll, at-risk, etc.).
- Process student transfers
- Maintain accurate and current student files.
- Maintain accurate and current student information on Powerschool.
- Cover for Health Aide when she/he is absent.
- Summer school information and health issues.
- Prepare for programs (i.e.- DARE, assemblies, concerts, etc.).
