Job Title : EXECUTIVE ASSISTANT
Classification : FULL-TIME / NON-EXEMPT
Reports To : CEO
Location : Hybrid
GENERAL SUMMARY :
This full-time position will directly assist the CEO and provide administrative support with various projects as assigned. The Executive Assistant will maintain the CEO’s calendar, respond
to phone and email inquiries, prepare board reports, coordinate travel arrangements, and other duties as assigned.
PRINCIPAL DUTIES & RESPONSIBILITIES :
Directly assist the CEO
Maintain calendar scheduling and appointment reminders
Shadow phone conversations and take notes
Screen and respond to phone and email inquiries
Coordinate all filming and press scheduling with the PR company
Coordinate outside charity partnerships and donation requests
Assist with the coordination of sponsors for upcoming events
Assist in the planning and prepping of the Animal Rescue (EARS) Program
Setup travel arrangements and accommodations
Track CEO’s mileage and expense reimbursements
Maintain record keeping and general office organization
QUALIFICATIONS :
Some college strongly preferred
Minimum 5 years of experience and / or training as an executive assistant, or equivalent
combination of education and experience
Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Suite
Excellent verbal and written communication skills
Highly organized with strong attention to detail
Must be a proactive problem solver
Must be capable of working both independently and as part of a team
Must be available to work varying hours based on the needs of the business
Proven skills in interfacing with a wide range of professionals
Ability to exemplify both discretion and confidentiality
Prior experience with calendaring and travel coordination required
Prior experience with Neon
