About us: GentleCare Pet Hospital is a private owned, small veterinary practice looking for an enthusiastic individual to join our team.
Business hours are Monday-Friday 8am-6pm, Saturday 8am-2pm.
Job Summary
A Client Care Representatives responsibility is to provide exceptional customer service to clients and patients, from phone calls and walk-ins, while booking appointments and educating clients on products and services needed for their pets.
Responsibilities and Duties
- Telephone services
-check and respond to phone messages, emails and text/app messages
-answer phones, book appointments, take messages
-call back all previous day’s appointments, surgeries and drop-offs
-confirm next day appointments
-email appointment forms to upcoming appointments
- Register and update new and returning clients for appointments into NEO veterinary software
- Check in surgery patients, appointments and drop offs
-make estimate /treatment sheets for all wellness appointments or drop off cases and obtain authorization for wellness visits.
-educate clients on vaccines and preventives
-triage cases based on medical need and schedule or refer to emergency as necessary
- Prepare outgoing mail and check incoming mail, faxes and email.
-Book follow up appointments
- Process payments via Clover credit card system, CareCredit, ScratchPay, check or cash
- Update patient and client data, recalls and reminders
- Scan lab reports and medical records into patient record (NEO software).
- Clean (disinfect/dust/vacuum/mop daily)
Qualifications and Skills
Ability to multi-task efficiently in a high stress environment.
Critical thinking skills necessary to problem solve.
Detail oriented to maintain efficiency.
High School Diploma/GED required.
Veterinary experience preferred.
Benefits
- After 90 days employment, employees are entitled to a maximum benefit of $1000 for the treatment of their pets per year (free products from suppliers & distributors not included). Employee is responsible for 25% of their pet’s bills on the day of the service.
- Periodic incentives based on quarterly gross production or exemplary performance of a particular responsibility or extra assignments may be given or not at the discretion of management.
- Two sets of light blue surgical scrubs of appropriate size provided upon hire and every 6 months.
- One year employment – 3 days sick leave accrued at end of year and paid holidays.
- Two years employment = paid vacation days (1 week per year) and paid holidays.
- Three years employment = paid holidays, vacation/ leaves (2 weeks per year).
- Four years employment- health insurance incentive in addition.
