Job Overview:
We are seeking a detail-oriented and highly organized Project Coordinator to join our team. This role is crucial in ensuring the smooth management of project documentation, file preparation, and scheduling of fieldwork. The ideal candidate will have excellent communication skills, a strong ability to manage multiple priorities, and a proactive approach to problem-solving.
Key Responsibilities:
- Manage and maintain project documents, ensuring proper control and versioning.
- Prepare and organize incoming case files, ensuring completeness and accuracy.
- Coordinate and schedule all fieldwork activities, maintaining an up-to-date field calendar.
- Communicate with field personnel, project managers, and clients to confirm schedules and project requirements.
- Assist in tracking project progress and deadlines to ensure timely completion.
- Maintain digital and physical records in compliance with company standards.
- Provide administrative support to project managers and field staff as needed.
- Identify process improvements for greater efficiency in document management and scheduling.
Qualifications:
- Bachelor’s degree in business administration, engineering, or a related field preferred, but not required.
- 4 years of experience in project coordination, document control, or a similar role, preferably in an engineering or construction environment.
- Strong organizational skills with a keen eye for detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and project management software.
- Ability to multitask and prioritize tasks effectively in a fast-paced setting.
- Experience with scheduling software or tools is a plus.
