As an Engineering Coordinator, you will assist Project Managers with organizing all departmental projects. In this role you will need to monitor projects for ongoing schedules, work hours, budgets, and expenditures. The Engineering Coordinator will also assist with client billing and office maintenance.
Responsibilities
- Maintain and monitor project plans, project schedules, work hours, budgets, and expenditures.
- Filter project requests and present qualified leads to Engineering Project Managers
- Act as a liaison for subconsultants, partners, municipalities, and clients for the Engineering Project Managers
- Document and follow up on important actions and decisions from meetings.
- Assist with project tasks, support through all phases of project, and ensure project deadlines are met.
- Create and maintain project management calendar to meet each goal and objective.
- Assist in the preparation of project proposals.
- Determine project changes.
- Provide administrative support utilizing our project management systems to set up projects, track project status, bill our clients, enter deposits, pull reporting, and assist with client receivables.
- Undertake project tasks as required.
- Attend meetings when appropriate and take notes.
- Maintain government portals for uploading documents and billing.
- Complete recertifications and permits for agencies (i.e., SWFWMD, FDEP, FDOT, etc.)
- Navigate business development opportunities for the department and company
- Promptly answer the main office phone line, ensuring all messages are taken and distributed.
- Check the office mailbox daily and distribute the contents.
- Manage the maintenance and ordering of office supplies, cleaning supplies, water for the break room, and supplies for the Xerox machine.
- Coordinate with our cleaning company to schedule weekly office cleanings.
- Prepare and send legal notices for new projects.
- Organize receipts and complete monthly credit card statements.
- Service-oriented team player who has a positive attitude and is flexible, responsive, proactive, and self-starter.
- Detailed-oriented, organized, works well towards timelines and goals, and able to maintain high quality of work.
- Ability to work happily and professionally in a fast-paced and complex firm.
- 3 years of Coordinator or Administrative experience
- Architecture, Engineering, or a Construction background is a plus
- Certified Notary in Florida is a plus
- Excellent PC skills including MS Word, Excel, PowerPoint, and Outlook
- Excellent written and verbal communication skills
