George Fox University's Physician Assistant (PA) Program is seeking an Administrative Assistant to support the department with the day-to-day procedures.


About the Job:

The Administrative Assistant (AA) is responsible for assisting the overall development of program mission and goals by providing administrative support, expanding capacity of program leadership, along with records management. The AA will assist in the program accreditation self-study data collection and serve as a Canvas and Examsoft platform tech support.


Job responsibilities include, but are not limited to:

  • Greeting and answering visitor questions or directing them to the appropriate person.
  • Answering the telephone and providing information, taking messages, or routing the call to the appropriate individual. Retrieving program voicemail and responding or forwarding as appropriate.
  • Performing desktop publishing duties by creating and developing visual presentations for the Program.
  • Designing and drafting general correspondences, memos, charts, tables, graphs, signs, etc. Proofreading copy for spelling, grammar and layout, and making appropriate changes.
  • Serving as a recording secretary for assigned committee meetings. Ensuring that all participants have a meeting agenda and reminding attendees of meeting schedules. Attending meetings and taking, transcribing, and distributing minutes.
  • Organizing, coordinating and scheduling complex activities such as faculty and staff travel arrangements and full-time faculty interviews including itineraries, briefing materials, appointments, and arrangements for conferences and lodging.
  • Delivering outgoing mail and picking up the incoming mail in the morning and in the afternoon. Opening the mail and dating, stamping, and routing mail to appropriate personnel.
  • Arranging meetings and special events (graduation, receptions, etc.) as needed by reserving meeting space, arranging food service (if needed) and working with the Facilities for room set-up (if needed).
  • Utilizing office and web-based software to facilitate communications with applicants, students, staff, and faculty.
  • Working with the Director of Didactic Education to ensure preparation, delivery, assessments, and evaluations of didactic courses happens utilizing various software programs (Canvas, ExamSoft).
  • Developing and managing the department document database of Google Suites.
  • Working with the Admissions Coordinator to help process applicant data.
  • Organizing and coordinating program alumni events.
  • Communicating effectively and courteously with others, including employees, students, and the public, in a spirit of teamwork, respect and customer service.
  • By actions, words, and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role.
  • Demonstrated experience working cross culturally with respect, appreciation and humility.
  • Other duties as assigned.

We're looking for candidates who have:

  • Strong interpersonal and communication skills.
  • Proficiency with MS Office software and Internet computing skills.
  • A high attention to detail in composing, typing, and proofing materials, establishing priorities, and meeting deadlines.
  • Exceptional organizational skills.
  • Enthusiasm about working in a collaborative environment.
