George Fox University's Admissions Systems team is in search of an Assistant Director of Admissions Systems & Integrations to help effectively manage our CRM Technolutions Slate (Slate) and work with our IT team and third parties to create seamless data integrations. This involves a blend of technical expertise, user support, strategic planning, and a keen understanding of the institution's needs and objectives.


About the Job:

The Assistant Director of Admissions Systems & Integrations plays a pivotal role in supporting the university's admissions teams for undergraduate, graduate, and accelerated online degree programs. As a Slate expert and designated Slate Captain, this position is responsible for developing and maintaining in-depth knowledge of Slate to ensure optimal use and performance.

Collaborating with stakeholders across the university, the Assistant Director ensures seamless and effective operations through the strategic use of technology, accurate data collection and reporting, timely and precise communication, and reliable system integrations. These efforts create a smooth and enriching experience for both students and staff while maintaining a commitment to excellence and integrity.

Job responsibilities include, but are not limited to:

  • Queries: Managing, crafting, reviewing, and testing queries to meet the business needs of enrollment & marketing stakeholders. This requires an understanding of Boolean logic. (25%)
  • Deliver/Print Mailings: Working with enrollment & marketing (E&M) stakeholders or vendors to create deliver mailings (emails), print mailings, and drip marketing campaigns using queries and dynamic content (employing liquid template logic) to reach the intended audience with information targeted to meet the needs of recipients. This requires light use of HTML5 and CSS. (20%)
  • Events/Forms: Working with enrollment & marketing (E&M) stakeholders to create web portals, forms, and events to ensure they meet the needs of our department and are customized based on academic program and person. This requires querying, light use of HTML5, CSS, and JavaScript. (20%)
  • Integrations: Coordinating and working with relevant departments and stakeholders in the set up, implementation, and maintenance of Admissions integrations and Slate data requests from other offices. This requires various tools, such as Python, SQL, CLI, a Scheduler, etc. to create and maintain seamless, automated data integration both into and out of Slate. (20%)
  • Documentation: Creating and maintaining documentation for processes, policies, and guidelines to assist users and internal teams in their use of Systems technology and processes. (5%)
  • Training Materials: Working with stakeholders to create and maintain training documentation and visual aides. (5%)
  • Collaboration: Assisting in the development and implementation of admissions policies and procedures by working directly with other departments and your team. (5%)
  • Communicating effectively and courteously with others, including employees, students, and the public, in a spirit of teamwork, respect and customer service.
  • By actions, words, and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role.
  • Demonstrating awareness, respect, and appreciation for diversity of culture, background, race, sex, political views, expressions of faith, etc. and works well with a variety of people.
  • Other duties as assigned.

A day in the life of this position:

The average day in this position involves responding to emails and ticketing system comments, organizing tasks to meet deadlines, seeking clarity and instructions from stakeholders, working in Slate to complete assigned project work and milestones, communicating with team members to keep projects on track and resolve issues, attending meetings with various departments and programs to ensure optimal use of technology in meeting their business needs, ensuring integrations are running successfully, and assisting end users with one-off requests or training sessions.

The Systems team within the Admissions department fosters a culture of integrity and intelligence, where each team member actively contributes and respects each other's work and time. This team plays a vital role in advancing the mission of George Fox University by ensuring that potential students and applicants feel "known." They accomplish this by delivering timely, personalized communications, facilitating event registrations that help students envision themselves as part of the community, and providing access to information that addresses their unique questions and goals.


We're looking for candidates who have:

  • A Bachelor's degree with at least one year of relevant experience OR an Associate's degree with at least three years of relevant experience.
  • Expert knowledge of Python and Computer Science Skills (SQL, OOP, Software Development, etc.)
  • Some CSS and HTML knowledge.
  • Experience working within Customer Relationship Management (CRM) systems.
  • Experience writing queries.
  • An ability to set up, manage, and troubleshoot processes.
  • A proven track record of successfully servicing customers and managing ongoing customer relationships.
  • An ability to work independently and handle multiple priorities and deadlines simultaneously.
  • The ability to understand and explain technical challenges/concepts to non-technical people.
