George Fox University's Performing Arts department is in need of a Program Coordinator to provide a high level of support and office management for the department chair and faculty as well as coordinate essential programs and activities of the Performing Arts Department.


Job responsibilities include, but are not limited to:

  • General Department/Office Support:
    • Providing reception duties for the department office, serving as the primary representative of the Performing Arts Department to students, faculty, staff, and visitors to campus.
    • Processing incoming and outgoing mail. Responsible for ordering office supplies, other inventory and for equipment maintenance.
    • Coordinating meeting schedules and attending minute departmental meetings.
    • Managing and arranging travel for Performing Arts faculty, students, and guest artists/clinicians
  • Events:
    • Managing box office for the Performing Arts Department; setting up ticket sales for ticketed music events, selling tickets to students, staff and public, setting up and selling tickets at every event prior to start time, staffing, reconciling ticket sales, heavy phones and emails for ticket sales. Includes marketing and outside sales.
    • Coordinating Performing Arts Department events, performances, and activities. Work with other campus departments to coordinate calendar planning, room usage, equipment, publicity, publications, catering, etc.
    • Coordinating and executing university related events, i.e. Friday@Fox, Bruin Preview, Scholarship Summit, Commencement department receptions.
  • Finance and Budget:
    • Managing numerous financial functions, including accounts payable and receivable, tracking/managing budgets, and credit card reconciliation. Process various forms as needed, such as check requests, purchase orders, interdepartmental charges, petty cash,etc.
  • Department Chair and Faculty Support:
    • Providing administrative support for the department chair as needed with Academic Affairs related tasks, i.e. loads, course submissions, assessment, syllabi collection, course evaluations, faculty schedules, etc.
    • Assisting in hiring of adjunct and applied music staff. Coordinating times and room locations for applied music lessons.
    • Assessing and communicating academic credit data for applied instructors to Human Resources to ensure accurate, timely payroll.
    • Providing new faculty with department specific information and assistance with university-wide systems.
  • Student Support:
    • Supervising student employees, including posting job openings, selection, hiring, scheduling and performance reviews. Oversee schedules and work load.
    • Maintaining Music Scholarship student requirements. Communicate compliance with Student Financial Services and students.
    • Assisting students preparing for junior and senior recitals.
  • Building Monitor:
    • Fulfilling duties of Assistant Building Monitor for the Ross Center; enter online work requests; approve card lock access and key authorizations. Issue and manage lockers to music students.
  • Communicating effectively and courteously with others, including employees, students, and the public, in a spirit of teamwork, respect and customer service.
  • By actions, words, and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role.
  • Demonstrated experience working cross culturally with respect, appreciation and humility.
  • Other duties as assigned.

We're looking for candidates who have:

  • A high school diploma and minimum of 5 years of successful office and data administration experience managing a varied and heavy workload in a fast-paced office environment.
  • Excellent customer service and skills that include a courteous, approachable presence in person, online, and on the phone.
  • Exceptional written and verbal communication skills.
  • Highly organized and task oriented, with the ability to prioritize multiple tasks and working collaboratively as well as independently.
  • Must be comfortable with decision-making, to identify and problem-solve, and move projects forward to a successful completion.
  • Computer proficiency and data management skills. Experience and effective use of Mac/Apple computers. Ability to become proficient in other administrative software programs such as PeopleSoft. Familiarity with Adobe Photoshop is a plus. Some music terminology will be helpful.
  • Discretion and integrity in maintaining confidentiality.

  • A personal commitment to Jesus Christ and express their Christian testimony in a church. In addition, employees agree to live in agreement with the Community Lifestyle Statement and affirm the theological commitments expressed in the Statement of Faith.

Job information:

  • Hours Per Week: 40 hours per week, 10 months of the year (0.83 FTE)
    • May be required to work evenings and weekends as necessary.
  • Annual Work Period: August 1st through May 31st
  • Primary Work Location: Newberg Campus
  • Working Conditions: Physical requirements are those of a normal office environment.
  • Supervisor: Chair, Performing Arts Department
