The Executive Assistant provides high-level administrative support to the Dean and faculty of the College of Education (COE), managing complex, varied, and confidential administrative and financial tasks that align with the College's strategic priorities. This position operates with a high degree of independence, ensuring the effective, efficient, and professional functioning of the Office of the Dean.

Job responsibilities include, but are not limited to :
- Overseeing administrative operations of the Office of the Dean.
- Working with program chairs to process adjunct and overload contracts each semester.
- Providing information to HR for background checks and assisting New Hires with processing paperwork.
- Reconciling faculty load assignments between COE Master documents and university business software.
- Setting up COE course evaluations each semester.
- Running quarterly budget reports for COE program chairs and monitoring COE program budgets.
- Reviewing Concur reports (expense reports) for the Dean's office, acting as a delegate and making corrections.
- Managing faculty travel & membership distributions.
- Providing deadlines and support to faculty and adjunct instructors.
- Assisting the Dean with annual accreditation reports and COE projects with the Clinical Practice Office.
- Providing leadership to COE staff to create an atmosphere of teamwork.
- Managing event set up, including room scheduling, catering, and Zoom conferencing.
- Taking minutes for COE Leadership Team and COE meetings.
- Maintaining and keeping confidential records up to date for faculty and adjuncts.
- Initiating and processing check requests, expense reimbursements, and fund transfers.
- Providing communication and acting as liaison with faculty, staff, the university, and the public.
- Coordinating visit arrangements for COE guests, accreditation teams, faculty candidates, and international groups.
- Ordering office supplies for COE as needed and charging expenses to appropriate accounts.
- Participating in meetings with other Dean's assistants across campus to enhance and streamline business processes between departments.
- Becoming proficient with various software programs used in the College of Education including PeopleSoft, Microsoft Office, Canvas, Slate, 25-Live, Bon Appetit, Google, IASystems and Cascade CMS.
- Communicating effectively and courteously with others, including employees, students, and the public, in a spirit of teamwork, respect and customer service.
- By actions, words, and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role.
- Demonstrated experience working cross culturally with respect, appreciation and humility.
- Other duties as assigned.
