About the Position:
The Training Assistant will provide essential technical/instructional support and program support for Executive Education in the Costello College of Business.
Executive Education in the Costello College of Business is committed to meeting the needs of organizations, agencies, and individuals through non-credit executive development programs that are timely, relevant, and cost effective. We strive to facilitate the development, promotion, and delivery of educational and training solutions that complement the academic strengths and expertise of the University. Primary responsibilities of this role will be assisting with the development and deployment of curriculum in the Learning Management System (LMS), delivery of onsite and online programs to include room set up, participant and faculty support in both in-person and online settings, videoconferencing, and ongoing LMS administration. The Training Assistant must possess excellent customer service skills. This role requires expertise in LMS tools such as Blackboard and Canvas, video conferencing tools like Zoom and Microsoft Teams, and curriculum delivery. Hours are flexible and will vary based on program delivery schedules, to include early mornings and evenings (e.g., 7:00am, 6:00pm) during course deliveries and online support.
Responsibilities:
Curriculum Coordination and Administration of LMS:
- Support the design of faculty generated program materials to include reviewing, editing, formatting, and suggesting design improvements of PowerPoint presentations, handouts, exercises, etc.;
- Organize program curriculum materials for printing, posting in LMS, presenting, etc.;
- Assist in LMS design, flow, look, feel, and loading of content and materials; and
- Assist with LMS participant enrollment and management.
Online Delivery Support:
- Schedule Zoom/MS Teams sessions and send MS Outlook invitations to faculty and participants; and
- Manage synchronous Zoom/MS Teams sessions as part of program deliveries, to include recording, assigning roles/co-hosts, managing waiting room, managing breakout rooms, taking attendance, managing chats, and troubleshooting technical issues.
In-Person Events Management:
- Provide support for Executive Education events/programs at the Arlington and Fairfax campuses or client sites ensuring a smooth, engaging experience for all participants;
- Identify and address any potential issues prior to the start of a program to prevent operational disruptions;
- Set up classrooms for sessions to include classroom technology, materials, tables in flex-spaces, and clean up classrooms after delivery is complete; and
- Support team with catering staff to ensure timely and accurate snack and meal set up.
General Executive Education Support:
- Assist with general program announcements, faculty reminders, and logistics lists; and
- Assist with preparing participant materials, including printing, welcome bags, etc.
Required Qualifications:
- Effective communication and project management abilities;
- Capable of balancing multiple responsibilities with independence;
- Demonstrates professionalism at all times, engaging with faculty, participants, and Mason staff from around the university;
- Strong collaboration skills with a proven ability to support diverse teams and professionals in delivering presentations and hosting events within both in-person and online environments;
- Experience supporting and troubleshooting online events through video conferencing platforms (e.g., Zoom, Teams);
- Proven ability to provide technical support for staff in online and face-to-face settings; and
- Experience with learning management systems.
Preferred Qualifications:
- Experience in higher education supporting live academic and online events, including classroom and technology setup, and troubleshooting; and
- Familiarity with processes and events in a college setting, with experience in training and workshops.
