TITLE: CONTROLLER
REPORTS TO: EXECUTIVE VICE PRESIDENT
PURPOSE OF THE POSITION:
The Controller provides sales and expense analyses for all departments and coordinates with each department manager in a manner which enables each department to operate profitably. They must fairly represent the financial condition of the dealership, develop controls necessary for the proper conduct of the business, maintain accurate records, and establish and maintain the data processing capabilities to accomplish the dealership's objectives.
DUTIES AND RESPONSIBILITIES:
• Work closely with upper management and other department managers to ensure that their needs are met and lines of communication remain open
• Hire, train and motivate a Business Office staff that can perform assigned tasks accurately and in a timely manner
• Monitor accounting entries made by the Business Office /Warranty / HR departments as they relate to accounting to ensure proper posting.
• Have a working knowledge of the function and responsibilities of each position in the Business Office / Warranty / HR departments and be able to perform such as needed
• Sustain the dealership's standard for ethical business practices, professional image, customer service and good employee and community relations
• Have a thorough understanding of the General Motors' financial statement and be able to talk about it fluently
• Work with the Executive Vice President, General Manager and all Department Managers to control and account for expenses in a timely manner and advise EVP of any changes
• Maintain accurate records on all contracts, (Finance, Equipment, Leases etc.)
• Review new contracts to verify our obligations before we enter into them.
• Review old contracts to verify current obligations, rates and renewal information.
• Maintain control of posted documents
• Set up fixed asset and prepaid asset accounts
• Prepare and file sales tax/solid waste tax monthly by the reporting date
• Ensure compliance with all cash reporting laws and regulations established by the I.R.S., prepare 8300 forms
• Trial Balance reviewed mid-month and before month closing.
° All accounts (scheduled or not) to be maintained by individuals as they apply to their daily work and reviewed by Controller
• Check the balance of outstanding deals due from F&I
• Keep up to date on all incentives, rebates or co-op programs to ensure prompt payment of any monies due the dealership
• Review Worker's Comp Audits
• Reconcile vehicle receivable schedule daily, report to EVP any money due over 5 business days old
• Reconcile inventories monthly and provide the EVP with proposed adjustments
• Reconcile bank statements daily and monthly for accuracy and cash flow
• Compliance with Floor plan
° Maintain a daily review of sales to keep compliant with Ally's release period
° Monthly review of statement to for payments and late in transits credits
° Smart cash payoffs, contracts and other miscellaneous items to Ally
• Maintain the GM mailbox and distribute as necessary
• Check the Petty Cash boxes periodically
• Reconcile all reserve accounts including finance, aged units and A/R debits
• Post and reconcile all General Motors invoices and statements weekly
• Post and reconcile GMPP
• Prepare and file G.M. Financial Statement monthly in a timely manner
• Assist in completion of annual review/audit
• Complete all outside audits including but not limited to Taxes and Insurance
• Work in conjunction with the CPA firm to provide any and all information in reference to the yearly tax responsibility of the dealership
• Maintain current training with General Motors
• Review and distribute DOCs daily
QUALIFICATIONS:
• Accounting degree or prior experience as a controller in a dealership
• Ability to make evaluations, reach conclusions, and solve problems based on subjective or objective information, knowledge, and experience
• Working knowledge of dealership financial statements
• Ability to explain technical financial information in an understandable manner
• Ability to express or exchange ideas to convey detailed information and instructions accurately to others.
• Ability to manage office staff
WORKING CONDITIONS:
The Controller works at a desk in an office setting for most of the shift. They will spend several hours a day analyzing dealership records, posting accounts and performing other types of paperwork. They will have an open door policy for all Managers regarding their departmental expenses.
