Position Overview
The Assistant Distribution Manager is responsible for strategically planning and coordinating multiple operational functions within the distribution center, from receipt to distribution of products. This role assists the Distribution Manager in enhancing efficiency and accuracy within the Distribution Center processes, including receiving, stocking, order fulfillment, shipping, and inventory control. The Assistant Distribution Center Manager assists in training warehouse personnel and ensures that employees adhere to all established functional processes and procedures, including adherence to all safety standards.
Key Responsibilities
Inbound and Outbound Flow
Receiving Product
- Provide fundamental receiving training based on GTS established standard
- Promptly maintain supplier delivery schedules
- Interpret receiving schedules and requests to facilitate delegating unloading/put-away tasks to meet business priorities
- Ensure the receiving team adheres to the established company receiving process, including the company-established receiving cycle of 24 hours for purchase orders and warehouse transfer form branches
- Ensure that all incoming shipments from suppliers and the branches are checked for accuracy against purchase orders, including correct quantities, product specifications, and condition.
- Ensure the receivers report all quantity discrepancies and wrong product deliveries to the purchasing department at the time of receipt.
- Enforce company quality control protocols to identify and resolve damaged or defective goods upon arrival.
- Address all delayed open-purchase orders and open warehouse transfers promptly, ensuring timely resolution with purchasing, Accounts Payable, or the shipping branch.
Storing Product
- Provide fundamental put-away training based on GTS established standard
- Enforce company-established put-away processes to ensure products are put away in a timely manner and stored in the appropriate storage location
- Ensure storage products are correctly stored, such as with proper stacking to reduce potential damage or a possible safety hazard
Shipping Product
- Oversee order fulfillment processes to ensure accuracy and timeliness, thereby ensuring customer satisfaction.
- Enforce the company-established picking procedure and best practices to ensure pickers adhere to them.
- Ensure effective quality control processes are adhered to diligently
- The product must be shipped systematically once the physical material is loaded onto the delivery truck
- Investigate and resolve issues related to misdelivered packages, incorrect shipments, and misplaced inventory.
Product Returns
- Responsible for addressing any damaged or incorrect product returns to the vendor.
- Ensure purchasing is contacted immediately when a returned product is identified.
- RMPO should be processed on time as soon as the purchasing department provides the proof of Return Authorization and a Return Purchase Order
- Ensure that the product is shipped according to the shipping instructions provided by the vendor, if any, and submit the shipment tracking information to the purchaser as soon as it becomes available.
Inventory Management
- Oversee inventory management processes to ensure stock accuracy within the Distribution Center.
- Identify and address slow-moving or obsolete inventory to optimize warehouse space and reduce carrying costs.
- Ensure inventory is stored in a logical, accessible manner based on demand, size, and frequency of use
- Oversight on regular cycle counting and schedules to maintain inventory accuracy and quickly address discrepancies
- Make sure Warehouse Transfer Exception Reports are cleared daily in conjunction with distributing Transfer Discrepancy Forms.
- Investigate the root cause, identify the responsible puller, and review the findings with them to prevent future occurrences.
- Ensure the inventory lead communicates with inventory control and the purchasing department about any unusual inventory shortage and associated adjustments.
Warehouse Management
- Foster a positive and inclusive team environment that promotes respect, communication, and collaboration.
- Maintain high cleanliness standards in the distribution center, including removing all empty pallets from storage shelves and racks.
- Maintain and organize equipment documents, including quality inspections and preventative maintenance
- Perform routine preventative maintenance on warehouse equipment as part of a scheduled maintenance plan
- Maintain and update operations metrics, including KPIs and productivity activities, with the Distribution Center by utilizing data analytics and system reports.
- Review of the daily productivity report to help encourage efficiency and excellence
- Responsible for assigning cleaning schedules for the aisles to employees, as well as designating a responsible employee to power the machines and empty the trash.
- Responsible for accessing the daily workload in various departments and communicating to the Distribution Center Manager of any personnel reshuffling need
- Conduct quarterly distribution inspections in collaboration with the Distribution Center Manager and the Director of Supply Chain.
Safety Management
- Ensure storage areas comply with safety and regulatory standards, such as proper stacking, labeling hazardous materials, or maintaining fire lanes
- Assist the Distribution Manager in maintaining accident and safety reports
- Conduct regular safety audits and ensure compliance with OSHA safety training and practices
- Maintains warehouse and grounds in a safe operational mode. Check, lock, and secure the building daily.
Additional Responsibility
- Assume managerial duties of the Distribution Center Manager in their absence.
- Additional duties as assigned by the supervisor.
Requirements
Qualifications
Education and Experience
- Must have 4 years of experience in Distribution operations or supply chain management, logistics, and inventory control, including leadership roles.
- Good understanding of inventory management and operations
- Knowledge of Microsoft Office and any ERP software.
- Experience with CSD ERP and TWL (Total Warehouse Logistics) is a plus.
- Problem-solving skills
- Must be forklift-certified

Work Environment
- The Assistant Distribution Manager works a standard work week, including some after-hours or weekends. The working environment ranges from office settings to warehouses, so dress standards are adjusted accordingly to the work environment.
- Shift begins at 6 AM daily
- The working conditions are typical of a warehouse environment.
- The Assistant Distribution Manager should expect to work alongside their employees to assist with moving material, which involves frequently standing and lifting materials and products up to 50 pounds.
- Forklift operation and the use of safety equipment, including, but not limited to, eye safety glasses, work boots, and gloves as required.
- Need to be able to withstand hot and cold work environments.
- Some after-hours work may be required. This position is on-site daily.
