Job Overview

The Assistant Director of Financial Aid, Systems and Compliance , Financial Aid, Graduate School of Arts and Sciences – Georgetown University position is part of a service-oriented team as a senior member of the graduate merit financial aid office. Under the general direction of the Senior Director of Finance, the Assistant Director of Financial Aid, Systems and Compliance, works closely with the Assistant Director of Financial Aid, Operations and Program Administrator in the management and administration of graduate student merit financial aid and stipends.

The incumbent is a key position in the overall management of graduate and PhD student scholarships and awards. As a member of the merit aid team, the Assistant Director contributes efforts related to strategic planning and systems compliance for merit aid business processes. This incumbent will be required to exercise professional judgment and apply critical thinking on behalf of the Graduate School merit aid team.

The Assistant Director will provide senior-level guidance, coordination, implementation, communication and operational support for strategic priorities to align with the Graduate School of Arts and Sciences merit aid office vision and direction. This includes merit aid business processes improvement communications, coordinating with academic units and general system maintenance. The incumbent ensures University system compliance with federal, state and institutional guidelines and policies by maintaining compliant merit aid software / implementation practices. The individual will also provide direction and leadership for all customer service interactions. The incumbent may frequently interact with other members of the Dean’s Office including Academic Affairs, Business Office, and Communications.

Systems Management : The Assistant Director of Financial Aid, Systems and Compliance must be able to effectively articulate and maintain system requirements between the Admissions team, Merit-Aid team, and other academic and administrative units across campus. S / he may be asked to provide guidance of structural improvements to streamline the financial aid award process for both incoming and returning graduate students. The incumbent may need to collaborate with University Information Services, Office of Student Financial Services and Office of Revenue and Receivables to ensure student data compliance.

Caseload : The incumbent directly manages a population of student aid while monitoring the awards processed by the Data Specialist. The position will serve as a point of contact or backup in the absence of the Senior Director for Finance or team members regarding merit aid tasks and concerns. Caseloads will be more complex and may require more experience and knowledge of grants, GUMC processes, etc. Some examples may include T32s, fellowships, annualized programs for PhD students and master’s programs.

  • Financial Aid Award Review, Audit, Processing and Reporting
  • Other Duties as Assigned

Work Interactions

This position reports directly to the Senior Director of Finance. It also works closely with the Graduate Program Director in Student Financial Services. This position interacts often with many other university offices, including the Registrar’s Office, Office of Revenue and Receivables, Student Financial Services, the Tax Department, Financial Affairs, graduate academic program offices on the Main Campus (e.g. Economics, Chemistry, etc.), Student Employment, Office of International Programs, the Provost’s Office, and others. The frequency of these interactions ranges from several times per month to several times per day.

Requirements and Qualifications

  • Bachelor’s Degree required and 6-8 years relevant experience required or equivalent combination of education and work. Masters, Business, preferred.
  • Proficient in Microsoft Office, Google Apps, Adobe Pro, Box and other general office collaboration tools.
  • Advanced reporting, review and analysis skills to detect and troubleshoot errors.
  • Experience in student information systems such as Banner / Cognos.
  • Experience with modern finance and HR products such as Workday.
  • Experience with admissions systems such as Slate.
  • Experience with DocuSign.
  • Web editing experience, such as WordPress, Google Sites.
  • Experience adapting to and testing new technology and systems.
  • Attention to detail and auditing experience a must.
  • Excellent communication skills with a broad variety of audiences.
  • Experience training others in financials procedures and systems.
  • Must be able to prioritize tasks in order to meet deadlines, maximize efficiency and minimize errors.

  • Familiarity auditing union position advertising and hiring, including CBA enforcement.

    Pay Range :

    The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is :

    47,586.00 - $87,558.13

    Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
