Administrative Coordinator for the Department of Government, Georgetown College - Georgetown University
The Department of Government is an open, dynamic, and publicly engaged community of scholars, students, and professional staff. We believe in the ideal of scholarship for its own sake but are also deeply committed to the role of cutting-edge research in informing politics and public life.
The Administrative Coordinator provides wide administrative support to the Department of Government, including its large undergraduate major and minor - for example, coordination of large-scale events and special meetings, faculty recruitment and support, undergraduate student research hiring, department expenses and reconciliations, and overall assistance with department operations. Reporting to the Department Chair and Administrative Officer, the A dministrative Coordinator has duties that include but are not limited to:
Operational Support
Process and reconcile the department's expenses according to established budgets.
Conduct hire and payroll processing for undergraduate research assistants.
Hire and supervise the Department's front desk work-study students.
Serve as the Department Technology Representative to liaise with UIS on university computing updates and represent Department needs.
Assist the Administrative Officer with the management of central office and streamlining of internal administrative processes
Faculty Recruitment and Support
Coordinate faculty search processes with the selected committee, including compliance with GU policies, review of applications, and visits by selected candidates.
Process and reconcile all faculty expenses that are related to research or department business.
Assist with the set-up of faculty each semester, especially new faculty.
Maintain all faculty email lists to ensure all faculty members are well informed.
Undergraduate Program Support
Work with the Director of Undergraduate Studies in providing support to undergraduate majors/minors as well as meaningful programming events.
Meet and present undergraduate major/minor information to prospective undergraduate students.
Maintain undergraduate program handbook and undergraduate program information on the department website.
Assist with graduation awards and activities.
Department Events Administration
Coordinate special and large-scale department events, to include securing the venue, communicating with the Office of Protocol as necessary, sending invitations and RSVP's, preparing programs, advertising, audio-visual, catering, and reconciling event expenses.
Ensure that all event and agenda logistics have been coordinated meticulously to avoid potential pitfalls.
Provide onsite support to be able to troubleshoot if necessary.
Course Scheduling :
Assist with working drafts and timetable of the department scheduling process, in light of Registrar's Office deadlines for each term.
Assist Chair, Field Chairs, the Directors of Undergraduate Studies, the Director of Graduate Studies, and MA program staff to ensure that all planned courses are successfully scheduled in the department's master schedule, to ensure students have the most accurate information during the pre-registration process each term.
Liaise with College Dean's Office to ensure that the undergraduate major/minor requirement courses are consistently offered to satisfy the degree requirements.
Assist with classroom assignments and other scheduling changes or additions with the Registrar's Office.
Qualifications
Bachelor's degree
At least 2 years of experience in a fast-paced office
Proficiency in MS Suite applications, Google docs and content-based website management
Excellent verbal and written communication skills
Superior multi-tasking and time management skills
Self-starter with the ability to work both independently and within a team
