Job Summary

This position serves as the primary office contact for the Director of Auxiliary Services and oversees the direct administrative and operational support for that area as well as various departments throughout Auxiliary Services. This position is responsible for coordinating with business partners to maintain operations for vending (snack, beverage, and laundry). This position will assist with managing, processing, and administration of various service contracts with approximately 20 business partners. This position will manage deposits, invoices, and accounts payables for vendors and contractors. This position will also reconcile employee meal plans, vending refunds, and commissions.

Responsibilities

Administrative Support - 45
This position provides customer service to all students, faculty and staff, serving as the first point of entry for Auxiliary Services. Provides assistance by screening calls, visitors, mail, making travel reservations, processing travel reimbursements, ordering supplies, submitting requisitions in Peoplesoft Financials and processing confidential matters.
Supports Auxiliary Services by reviewing and routing University contracts and documents. Responsible for processing deposits, invoices, and accounts payable for vendors and contractors. Coordinate with vendors to maintain proper operation of all vending equipment and reconciling customer refunds.
Verification of Contractor invoices and commissions/payments for accuracy and implementing any contract amendments impacting these areas. Manage Staff/Faculty rental units by securing leasing documents and managing tenants.
Duties include administrative support for the Director of Auxiliary Services, the Bobcat Card Office, Mail Services, Parking & Transportation, Marketing, Dining Services, the Bookstore, and University Vending.

Management - 45
This position is responsible for the contract maintenance of approximately 20 business partners and any ancillary initiates from these relationships. This position ensures the proper processing, maintenance, and timing of all contracts.
This position is responsible for reconciling Housing deposits, Faculty & Staff Meal Plans, Deposit Transmittals to Ledger, and Dual Enrollment Invoices from bookstore.
Maintain Auxiliary Services inventory across all contracted service areas, Conduct annual Purchasing Inventory Audit. Supervise student workers and train to audit vendor services, gather information, and maintain records.

This position will work on smaller projects and initiatives as directed by the Director of Auxiliary Services. These projects will require coordinating with Facilities and General Contractors to remain on budget and on schedule.

Contributes to the overall success of Auxiliary Services by performing all other duties and responsibilities as assigned.

Required Qualifications

Educational Requirements
Bachelor's degree or an equivalent of education plus relevant business experience.

Required Experience
Three or more years of job related experience.

ABILITIES
Ability to provide outstanding customer service at all levels inside and outside of the University. Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a multifaceted community. Ability to follow through on commitments and meet assigned deadlines. Organize groups of stakeholders and business partners to address needs of GCSU and Auxiliary Services initiatives.

KNOWLEDGE
Excellent interpersonal and communication skills. Proficiency in Microsoft Office. Ability to communicate effectively, both verbally and in writing. Receptionist skills. Ability to create, compose, and edit written materials. Ability to schedule appointments. Strong understanding of accounts payable and accounts receivable. Understanding of contract submission and implementation process. Validation and reconciliation of business partner invoices and commissions.

SKILLS
Microsoft Office, especially Word and Excel. Scheduling and following up on multiple simultaneous projects.
