The Georgia Department of Human Services (DHS), Division of Family and Children Services (DFCS) is seeking candidates for the position of Administrative Assistant 2. This position performs a variety of general secretarial, clerical, and administrative support functions. Enters data into GA SHINES. Process invoices for payment. Handles contracts for local office. Order office supplies. Ensures training logs are kept up to date. Manages office inventory and reporting to State Office staff. Completes monthly reports to regional OFI and Services staff. Ensures COOP, and other yearly reports and manuals are kept up to date with current information. Performs banking duties per the COOP. The Administrative Assistant 2 position reports to the County Director and supports operations in the Catoosa County, in Fort Oglethorpe DFCS office.

Under general supervision, performs a wide range of office administration duties for assigned functions or program areas, duties may be complex in nature and may involve access to confidential information. May research, investigate, and/or resolve program data or issues. Drafts documentation, reports, or presentations. Represents program or unit, provides information and assistance to internal and external customers.
Role and Responsibilities:
- THIS IS NOT A REMOTE/VIRTUAL POSITION.
- Provides secretarial and administrative support to county staff.
- Uses independent judgement and initiative to perform administrative, clerical, and secretarial duties.
- Performs job responsibilities with minimal supervision.
- Data entry into SHINES systems,
- Receives, processes and submits service provider invoices and recurring County office invoices timely.
Core Competencies:
- Organization and Time Management Skills
- High school diploma/GED and three (3) years of job-related experience.
OR
- One (1) year of experience required at the lower level Admin Assistant 1 (GST050) or position equivalent.
Preferred Skills/Qualifications:
Preference will be given to candidates who, in addition to meeting the minimum qualifications, demonstrate some or all of the following skills/experience.
- Strong proficiency in the use of Microsoft Office Suite, especially Word and Excel.
- Demonstrated ability to effectively track invoice systems from receipt through payment.
