Under broad supervision, performs a wide range of office administration duties for assigned functions or program areas. Duties may be complex in nature and may involve access to confidential information. May be required to research, investigate, and/or resolve program data or issues. Drafts documentation, reports, or presentations. Represents program or unit, provides information and assistance to internal and external customers. Monitors/tracks multiple initiatives.

Job Description

(General Summary):

Role And Responsibilities

  • Reports directly to the Deputy Director and provides administrative functions for the Deputy Director and the office
  • Provide assistance and problem resolution to internal and external customers
  • Liaison between county and regional office for tracking and monitoring various initiatives
  • Create reports and spreadsheets as requested by Deputy Director
  • Manages routine administrative functions for agency/office, such as travel expenses, car rental, leases, vendors, contracts, telecommunications, building security, purchasing, billing/credit, inventory, property control, etc.
  • May serve as lead worker over administrative assistant and support staff
  • May train subordinate staff in proper procedures of day-to-day operations
  • Performs job responsibility with minimal supervision
  • Other duties as assigned by the Deputy Director

Minimum Qualifications

Associate's degree from an accredited college or university AND Two years of related experience

OR

Four years of related experience.

Preferred Skills/Qualifications

  • Associates degree from an accredited college/university AND 2 years related experience as an executive assistance OR 4 years related experience as an executive assistant
  • Must be able to multi-task in a high functioning work environment
  • Must have customer service skills
  • Must have knowledge of all Microsoft Office Platforms, especially Word, Excel, and Publisher as well as knowledge of Office365 Suite, to include SharePoint and TEAMS
  • Must be able to adapt to various situations and needs to remain professional
