General Description

The Georgia Department of Community Affairs (DCA) is a state organization dedicated to partnering with communities to help create a climate of success for Georgia's families and businesses. Overview of Job:

This position will provide administrative and operational support to the Division Director and the Director’s Office staff.  The role requires corresponding with industry partners on behalf of the Division Director, scheduling team meetings and facilitating signature requests for legal documents and contracts. The Business Support Analyst (BSA) will manage Division contract renewals, facilitate contract execution on behalf of the Office of General Counsel and will assist the Senior Strategic Operations Manager with projecting Division revenue and tracking spending.   This role will complete core administrative tasks for the Division Director’s Office, such as check deposits, registrations, ordering supplies, managing the Director’s budget, submitting travel expense reports for the Division Director, processing invoices for payment (to include providing purchase orders and preparing requisitions), coordinating travel plans and speaking engagements for the Division Director.

 

This role will be considered for a fast-track growth opportunity to lead the business support team for the Division.

MINIMUM ELIGIBILITY REQUIREMENTS

Associate degree in Business or related field from an accredited college or university and one (1) year of experience related to area of assignment.

Note: An equivalent combination of knowledge, education, job or intern experience, training, or certifications that provides the necessary knowledge and skills to successfully perform the job at the level listed may be substituted year-over-year.

MINIMUM KNOWLEDGE, SKILLS, AND ABILITIES

  • Work collaboratively to execute tasks to meet the department’s needs and obligations
  • Prioritize, track, and manage multiple tasks, ensuring effective execution of assigned tasks and projects
  • Respond to inquiries, phone calls, correspondence, and email in a timely and responsive manner
  • Communicate effectively to convey ideas, issues, goals and interface effectively and professionally with department staff, external partners, and agency representatives
  • Data entry within multiple software databases
  • Demonstrate knowledge and skilled use of Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint) and Adobe Pro
  • Manage and prioritize competing interests
  • Oversight of administrative tasks including performance evaluations, budget development, contract management
  • Interface effectively and professionally with department staff, external partners, and Agency representatives.

PREFERRED KNOWLEDGE AND SKILLS

  • Knowledge of the Federal Low-Income Housing Tax Credit, HOME Program, and other HUD funded programs
  • Ability to review and comprehend technical documents such as federal housing regulations and associated policies and procedures
  • Effective oral and written communication skills
  • Ability to use available information to develop viable action items in compliance with the agency’s policies, procedures, and regulatory requirements 
  • Ability to respond appropriately in challenging situations and serve as a resource to team members and internal/external stakeholders
  • Ability to coordinate and prioritize multiple tasks
  • Ability to assess and evaluate internal controls for programs and processes;
  • Ability to present ideas, facts, conclusions and recommendations clearly, concisely and logically both orally and in writing

 

WORKING CONDITIONS (TRAVEL, HOURS, ENVIRONMENT)

This position requires 4 days in-office work and is currently designated as a hybrid role (1 day telework day in each work week).  This position is full time (40 hours per week) and may require occasional overtime.  Local periodic travel may be required. 

 

PHYSICAL/SENSORY REQUIREMENTS

Work is principally stationary, but the person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc., and constantly operates a computer and other office equipment.

Must be able to remain in a stationary position 50% of the time.

Must be able to perform office related duties.

Must be able to operate office equipment.

Must be able to establish and maintain effective working relationships with employees, tenants, and community agencies and other entities that provide services.

Must be able to perform essential job functions, with or without reasonable accommodations.

Must be able to perform essential job functions in an environment that will sometimes include increased levels of work-related stress.

Must maintain punctuality and attendance as scheduled.

Additional Information

Salary : $52,000 - $55,000
