Department Information

The Library at the Georgia Institute of Technology invites applications for {Title} position in the Georgia Tech Library. Candidates are expected to demonstrate an exceptional commitment to learning and development of Georgia Tech students in this supporting role, both indirectly and directly. The Georgia Tech Library, since its earliest incarnation in the Carnegie building in 1907, has served the needs of our students, faculty and staff. It is open 24 hours a day during times when school is in session.

The Georgia Tech Library features more than 3.9 million items in its circulating collection, including books, e-books, music and movies. The majority of this physical collection is housed in cold storage at the Library Service Center in partnership with Emory University, meaning students, faculty and staff have access to their multi-million volume collection, as well. This partnership continues to expand, so check the catalog regularly for new items.

Our library is primarily a digital-first organization, meaning our customers use our online resources most heavily, averaging more than four million downloads a year from more than 85,000 journals covering virtually every conceivable topic of scholarship. We also offer access to numerous news and government sources.

Job Summary

Oversee the daily operations of multiple administrative functions within an academic or business unit. Functions usually include all or most of the following: financial records and reporting, human resources, building management and general administrative support to unit staff. This position will interact on a consistent basis with: unit management and staff and management/staff in campus-wide support units (e.g. Human Resources, Facilities, etc.). This position typically will advise and counsel: unit management and staff. This position will supervise: assigned unit administrative staff.

Responsibilities

Job Duty 1 - Coordinate unit budget preparation, monitor and prepare related reports.
Job Duty 2 - Supervise unit human resources administrative functions and coordinate efforts with OHR.
Job Duty 3 - Ensure that unit facilities are maintained.
Job Duty 4 - Manage preparation of financial related reports and schedules. May include grant administration.
Job Duty 5 - Coordinate unit space planning and usage.
Job Duty 6 - Develop unit administrative policies and procedures (or major portions thereof) consistent with Institute policy.
Job Duty 7 - Coordinate provision of administrative services to unit management and staff.
Job Duty 8 - Organize the activities of and supervise assigned support staff.
Job Duty 9 - Perform other duties as assigned.


Required Qualifications

Educational Requirements
Bachelor's Degree in business, communications, or related field or equivalent combination of education and experience

Other Required Qualifications
Some travel is required.

Required Experience
Eight to ten years of job related experience

Preferred Qualifications

Functions include Technology (Web) and Project/portfolio management, Human Resources with an emphasis on Faculty Affairs, Facilities operations and space planning. This position will interact on a consistent basis with: Library management and staff and management/staff in campus-wide support units (e.g. Information Technology, Human Resources, Facilities, etc.). This position typically will advise and counsel unit management and staff. This position will supervise assigned unit administrative staff.

Job Duties/Responsibilities:

  • Ensure that unit facilities metrics established managed and escalated when needed.
  • Ensure that unit Project Management metrics established managed and escalated when needed.
  • Ensure that unit facilities metrics established managed and escalated when needed.
  • Lead Faculty Human Resource Functions and collaborate with unit human resources administrative functions and coordinate efforts with OHR.
  • Coordinate unit space planning and usage across all facilities.
  • Coordinate provision of administrative services to unit management and staff.
  • Organize the activities of and supervise assigned support staff.
  • Perform other duties as assigned

Proposed Salary

$72,783 -$95k

Knowledge, Skills, & Abilities

SKILLS
This job requires working knowledge of a broad range of office management functions and processes including those related to accounting records, human resources, facilities management, records management and related areas. Use of office related computer applications and systems is required. Previous people management experience is also required.
