This position is responsible for maintaining and implementing all aspects of the Customer Relationship Management (CRM) admissions database (SLATE) and the transfer of data to the Student Information System (SIS). Excellent data skills are required to provide support to the Enrollment Division in managing, processing, and tracking recruitment data.  The Associate Director manages workflows related to application and admission processes and oversees day-to-day technical processes, including Slate forms, delivery, decision release, campaigns, portals, rules, and event/scheduler functions in Slate to effectively leverage the CRM for recruitment and admission. Additionally, they oversee yearly update processes such as Cycle Prep and updates to Slate-hosted and external applications. Reporting directly to the Assistant Vice President of Admissions, this position serves as a crucial member of the leadership team to provide leadership and direction for the Office of Admissions.  The position can be hybrid or on-campus.

Essential Functions:

  • Serves as functional lead and hands-on administrator for the University’s customer relationship management (CRM) software, SLATE
  • Responsible for supporting, monitoring, testing, and maintaining data and functionality in GCU’s CRM system (SLATE)
  • Serves as first-level support for CRM-related concerns raised by internal and external stakeholders
  • Collaborate with internal and external stakeholders to develop and implement innovative enhancements to admissions processing
  • Create, monitor, and maintain the master timeline and instructional documentation for all application process workflows and official operations functions.
  • Complete work requests as assigned, including the creation of forms and events, development of workflows, population maintenance relating to permissions, realms, rules, dataset uploads, queries, and reports.
  • Builds import processes and performs or oversees the import and mapping of all name acquisition data, including but not limited to College Board, ACT, Encoura, Cappex, Naviance, etc.
  • Provides support and problem resolution for all existing SLATE functions for undergraduate and graduate admissions including but not limited to recruitment, reporting, events, and communications.
  • Train and educate admissions team members and other campus personnel on Slate best practices and usage
  • Create and maintain communication plans for prospective students, inquiries, and applicants throughout the recruitment cycle in collaboration with the admissions and marketing leaders
  • Monitor data from Slate integrating into Powercampus and making corrections to students records as needed
  • Partner with senior leadership and marketing team to support accurate communications and messaging throughout the application and enrollment processes.
  • Serve as the admissions contact for software vendors and IT staff, managing the implementation, development, and maintenance of admissions and recruitment technologies.
  • Attend campus events to support student enrollment as needed.
  • Excellent interpersonal and communication skills.
  • Availability for occasional evenings and weekend work.
  • Other duties as assigned.

Qualifications

  • Bachelor’s degree from an accredited college or university; Master’s degree preferred
  • 3-5 years’ experience configuring, testing, documenting, and supporting the customer relationship management (CRM) software, SLATE
  • Proven experience in a higher education environment
  • Good listening and interpersonal communication skills
  • Excellent organizational skills and ability to simplify complex processes
