Accounting/Operations Administrative Assistant Job Duties:
- Responsible for overseeing the credit card program through Concur (expense management program). This entails issuing and canceling credit cards, monitoring spend, ensuring that expense reports are submitted timely and that proper documentation for all charges is received and properly coded. Upload credit card charges into an accounting system.
- Responsible for overseeing hotel reservations through CLC (a corporate lodging program). Assisting the field crews with any issues with hotel reservations and working directly with our dedicated customer service representative to ensure the program is working properly. Enter weekly lodging invoices into the accounting system and obtain charge approvals from the project manager.
- Responds to questions and requests for information from field and office staff.
- Ensures company licenses and permits are up to date and maintains master license list for all companies utilizing the registered agent portal. Researches all new project locations to identify state and local business licensing requirements.
- Prepares annual gross receipt filings and files annual reports.
- Responsible for entering new jobs and job budgets into accounting system.
- Protects organization's value by keeping information confidential.
- Assists with other accounting and administrative tasks as required.
Experience:
Minimum of 3 years bookkeeping and general office experience supporting teams administratively. Proficient in MS Office (Word and Excel, in particular). Working knowledge of office equipment. Construction industry experience a plus.Skills and Qualifications:
Strong written and oral communication skills, ability to manage multiple projects simultaneously, strong organizational and analytical skills, self-starter, attention to detail and accuracy, teamwork, ability to meet deadlines and interact with all levels of the organization.Work Hours:
