Job Summary:
Greets patients arriving for appointments, obtains information, answers questions, and provides assistance or directions as appropriate. Notifies nurse of patient’s arrival and assures all records needed are available. Schedules return visits, and makes appointments. Answers telephone and posts patient co-pays and charges.
Key Areas of Responsibility:
I. FRONT DESK:
- Accurately registers patients by obtaining complete demographics, insurance information, Photo Id, HIPPA consent, and health history. Copies current insurance card(s).
- Updates demographic and insurance information from patient check-in, and phone, into correct patient account in computer.
- Scans: Photo Id, and Insurance card(s). All forms and records from check-in. Color pictures. All Wound Care information.
- Checks referrals: Calls on referrals as needed and inputs information.
- Collects co-pay and any past due balances and applies payment as needed.
- Turns telephone on/off when appropriate.
- Mails consent forms to patients when appropriate.
- Runs encounter forms when necessary.
- Runs Medicaid eligibility for all patients.
- Maintains waiting room.
II. BACK DESK:
- Checks-out patient: Makes follow-up appointment. Makes referral appointment to specialist: ie. Oncologist, Cardiologist, etc.
- Maintains attention to detail for all medical records. Scans all information into correct patient chart daily; paying close attention to name, date of birth, description of record and duplication.
- Balances all money posted for the day and keeps ledger.
- Updates patient information from satellite offices.
- Closes out the day by balancing journals and credit card machine and performing daily close on Intergy.
IV. ALL AREAS:
- Telephone: Answers within three (3) rings using proper telephone courtesy. Maintains switchboard, directing calls to appropriate area/person, taking messages when necessary in an accurate and timely manner. Makes appointments and handles questions re:billing, etc.
- Shreds appropriate documentation.
- Empties trash and pick up at end of day.
- Maintains work environment in clean, safe and quiet order.
- Performs a variety of clerical duties, as assigned.
- Performs activities with efficiency and speed.
- Assists patients, visitors, staff and physicians utilizing good guest relations.
- Attends staff meetings and educational opportunities.
- Prioritizes job responsibilities to facilitate optimum quality of patient care.
- Demonstrates flexibility in meeting the needs of the practice.
- Maintains patient confidentiality at all times.
HIPPA Compliance:
Receptionist will have access to all documents contained in the patient’s medical record.
Minimum Knowledge, Skills and Abilities:
- High school diploma or equivalent.
- Demonstrates interpersonal communication skills required to facilitate effective interaction with a variety of health care professionals.
- Demonstrates clerical skills, including keyboarding and familiarity with software programs such as the practice’s Intergy System. Aptitude for learning new computer software.
- Knowledge of ICD-9 and CPT coding.
- Familiarity with medical terminology preferred or required to complete a course in medical terminology.
- Ability to concentrate in a busy environment, and to give attention to details.
- Ability to function productively under stressful, demanding conditions.
Working Conditions:
1. Accountability to Supervisor with indirect accountability to the Physicians.
- Normal peri-operative environment with occasional exposure to chemical odors,
cleaning solvents and other hazardous materials.
- Occasional exposure to possible injury when working with electrical equipment
which require care and following proper safety procedures.
- Under direction of Supervisor, runs assigned errands.
