Status: Part-Time (average of 10 hours per week/40 hours a month)
The CBYX Alumni Association is a 501c3, an independent network encompassing 40 years of Congress-Bundestag Youth Exchange alumni, dedicated to giving back, maintaining existing relationships and building new ones. A shared love for the German American relationship, its people and culture, gained through our common experience of CBYX program participation, is at the heart of everything we do. Founded in 1983 to strengthen ties between the United States and Germany through citizen diplomacy, the Congress-Bundestag Youth Exchange is a program of the U.S. Department of State, Bureau of Educational and Cultural Affairs. Today, over 40 YEARS later, the program continues as a dynamic and immersive exchange program jointly offered by the U.S. and German governments.
POSITION SUMMARY
The Membership Coordinator is responsible for helping to design and implement some of CBYX AA’S key pursuits, focusing on alumni connections. This includes alumni communication, management of volunteer regional Hub coordinators and their events, cultivation of the online membership experience, mastery of our Hivebrite platform as a membership and events tool, social media calendar and implementation, board meeting scheduling, fundraising coordination, and assisting marketing and development efforts. Currently, our network includes over 3,000 alumni on our platform, with thousands more on major platforms – we look to grow our community to over 15,000 alumni and members!
The ideal candidate is a CBYX AA member, who has a strong passion for the CBYX AA mission, excellent organizational and communication skills, and the ability to work both independently and as part of a collaborative team. This position requires HIGH attention to detail and creativity.
KEY RESPONSIBILITIES (focus will shift over time as operations are dialed in)
This position supports the design and implementation of CBYX Alumni Association’s key pursuits, including:
- Leading communication with alumni, including outreach efforts, managing alumni inquiries, and membership & fundraising campaigns, while supporting the CBYX mission
- Supporting volunteers, especially regional hub coordinators in organizing their events, and working with our social media volunteer team
- Technical development of the community platform Hivebrite, with an aim of making it our primary and “go to” events and community hub
- Working with volunteers to organize online programs and connection opportunities for alumni
- Logistics for large events (TBD) such as registration management, on-site event logistics as well member, vendor, and volunteer relations
- Creation and execution of marketing materials to raise awareness and drive engagement with the organization’s pursuits and related events, including invitations, social media posts, email campaigns and website design.
- Support Board relations such as preparing and distributing meeting materials.
EXPERIENCE
- At least 2 years of experience in program coordination, marketing or communications, preferably in the non-profit or arts sector (may include internships or volunteer work).
- Confidence working with Excel and tracking software to enable excellent project management with correspondence, event planning and social content
- Experience with managing events from conception to completion, including logistics, promotion, collaboration with vendors and post-event evaluation.
SKILLS
- Excellent organizational skills and attention to detail.
- Ability to produce clear, audience-centric content; applicants must be confident incomposing a wide variety of messages while maintaining a consistent voice for CBYX AA.
- Strong communication, time management and interpersonal skills, with the ability to work both independently and collaboratively.
- Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint) and Google
- Workspaces, familiarity with social media platforms, and ability to learn new platforms such as Mailchimp and Hivebrite
COMPENSATION
$30.00 per hour
OTHER REQUIREMENTS
- Flexibility to work approximately 5 Saturdays/Sundays during the year
