Germanna Community College is a public, open access institution of higher education in the Virginia Community College System. Germanna Community College is centrally located in Fredericksburg, VA between Washington D.C. and Richmond and between the Blue Ridge mountains and the Chesapeake Bay. Germanna Community College is seeking two full-time Assistant Registrars to join the Enrollment Services department. These positions are critical to enhancing student success and maintaining institutional compliance, with each role focusing on specific key areas of student success. One position focuses on Admissions, while the other focuses on Retention and Special Admissions in Health Sciences programs. Both positions will play vital roles in managing student records, ensuring policy compliance, and providing exceptional service to students. Each Assistant Registrar will collaborate with faculty, staff, and administration to improve operational efficiency, foster a student-centered environment, and address specific needs within their areas of focus.
The Admissions Assistant Registrar will be located at Fredericksburg Campus and with one workday at the Stafford campus location.
The Retention Assistant Registrar is primarily located at the Locust Grove Campus.
Both positions will require working some evenings and weekends.
Major Duties and Responsibilities:
Assistant Registrar for Admissions
Primary Responsibilities:
- Supervise Enrollment Services personnel, including training, approving time and leave, and conducting annual performance evaluations.
- Oversee onboarding and course registration processes, maintaining accurate student records and addressing registration conflicts.
- Communicate with students using various technologies and update student communications and the college-wide communication plan.
- Analyze and report enrollment data to support strategic initiatives and improve efficiency.
- Serve as a liaison between Enrollment Services staff and the Registrar’s office, addressing inquiries and concerns.
Assistant Registrar for Retention
- Manage daily operations of the Enrollment Services office, ensuring high standards of customer service and operational efficiency.
- Supervise staff and oversee retention processes, including Health Sciences special admissions and dual enrollment.
- Develop strategies to improve student retention and success, including academic calendar and catalog coordination.
- Oversee end-of-term processes, including grade submissions, academic standing letters, and course prerequisite checks.
- Collaborate with deans, faculty, and staff to support retention initiatives and ensure compliance with FERPA and SCHEV policies.

- Experience in higher education settings, specifically in Enrollment Services, Admissions, or Registrar’s Office.
- Ability to work independently, maintain confidentiality, and manage tasks under pressure.
- Proficiency in Microsoft Office, database management, and Student Information Systems (SIS).
- Excellent communication, organization, and customer service and prioritization skills.
- Demonstrable commitment to promoting and enhancing equity, inclusion, and diversity.
- Experience with or willingness to learn AI tools
- Familiarity with EAB Navigate and/or Salesforce CRM.
- Familiarity with academic calendar updates and retention initiatives/strategies.
- Experience with diverse populations and case management.
- Previous supervisory experience and familiarity with general enrollment and admissions processes.
- Bilingual (Spanish).
- Experience in managing dual enrollment, international student records, and special admissions processes for Health Sciences.
- Familiarity with SCHEV enrollment records and academic calendar scheduling in SIS.
- International student onboarding, retention, and data tracking experience.
