Key Responsibilities
- Serve as the main point of contact for the office while overseeing all operational aspects.
- Manage vendor contracts and relationships to ensure seamless office operations and maintain cost efficiency.
- Monitor and report on attendance, hours, and sustainability initiatives, including leadership in EcoVadis initiatives.
- Oversee cybersecurity training, IT management, and the requirements for office software.
- Supervise the Operations Coordinator, offering assistance in office administration and recruitment efforts.
- Facilitate the onboarding process for new hires, ensuring a superior employee experience through HR platforms.
- Manage payroll, bonuses, and contractor compensation.
- Conduct performance reviews and handle employee relations in accordance with company policies.
- Lead training sessions focused on HR best practices and legal compliance.
- Oversee benefits administration, including open enrollment and policy updates.
- Manage exit processes, which includes conducting exit interviews and offboarding.
- Direct the management of financial records, client invoicing, and accounts payable/receivable utilizing QuickBooks.
- Assist in ensuring tax compliance and collaborate with the company's CPA for audits and reporting.
- Edit financial documents like Statements of Work (SOWs) and oversee 1099 filings.
- Plan team-building events, including community outreach and annual celebrations.
- Drive initiatives for employee engagement and recognition by conducting surveys and analyzing results to enhance satisfaction.
- Provide high-level administrative assistance to the CEO, including refining correspondence and presentations.
- Assist in scheduling, travel arrangements, and various tasks as necessary.
- Strong proficiency in QuickBooks and HRIS platforms.
- Proven leadership abilities, with a successful track record in managing teams and projects.
- Excellent written and verbal communication skills.
- Capacity to handle confidential information with the utmost professionalism.
- Experience with sustainability initiatives, including EcoVadis, is an asset.
- Ability to manage and prioritize multiple projects in a dynamic environment.
- Bachelor's degree in business administration, human resources, or a related discipline.
- 7 years of relevant experience in operations, HR, or administrative leadership roles.
- Previous experience in operations or office management within a startup or service agency setting is advantageous.
