Key Responsibilities
- Serve as the primary point of contact for coworking space providers while managing lease agreements.
- Oversee budget management, cost control, and software utilization.
- Spearhead sustainability initiatives, including conducting annual EcoVadis assessments.
- Manage cybersecurity training, IT equipment, and software audits.
- Supervise the Operations Coordinator, who aids in office administration and recruitment.
- Negotiate vendor contracts and oversee annual insurance renewals.
- Organize and facilitate weekly team meetings.
- Direct employee onboarding, payroll processing, performance evaluations, and benefits management.
- Conduct training sessions on compliance and best practices.
- Update and maintain HR policies and employee handbooks.
- Address employee relations matters with confidentiality and professionalism.
- Lead and support recruitment initiatives, including H-1B sponsorship as needed.
- Manage financial records through QuickBooks, including accounts payable/receivable and client invoicing.
- Assist with tax compliance and collaborate with our CPA for audits and year-end financial reporting.
- Ensure the accuracy of Statements of Work (SOWs).
- Develop and implement employee engagement initiatives, team-building events, and recognition programs.
- Conduct quarterly engagement surveys and assess results for organizational improvement.
- Provide executive support through correspondence, presentation preparation, and note-taking in meetings.
- Coordinate light scheduling and travel arrangements for leadership.
- Bachelor's degree in business administration, human resources, or a related field.
- 7 years of experience in operations, human resources, or administrative leadership roles.
- Proficiency in QuickBooks, HRIS platforms (TriNet preferred), and Microsoft Office suite.
- Strong organizational, analytical, and interpersonal communication abilities.
- Proven experience in managing sustainability initiatives (EcoVadis experience is a plus).
- A detail-oriented, entrepreneurial mindset with the capacity to prioritize multiple responsibilities.
- SHRM-CP certification is preferred but not mandatory.
- Experience in operations, HR, or office management within a startup or service agency is advantageous.
