We are seeking a dedicated and detail-oriented Executive Assistant to join our innovative product design agency in a remote capacity. This part-time contract role presents a unique opportunity for professional growth within our team, where your contributions will be valued and impactful.

Key Responsibilities

  • Calendar & Meeting Management: Ensure schedules are maintained effectively, organize meetings, and facilitate smooth operations.
  • Email Management: Oversee inbox management, respond to inquiries timely, and ensure vital communications are handled with professionalism and clarity.
  • Outreach & Coordination: Support outreach efforts to prospective clients and partners, manage follow-ups, and maintain high standards of communication.
  • Project & Task Management: Utilize project management tools such as ClickUp or Notion to track progress and ensure deadlines are achieved.
  • Client & Vendor Communication: Act as the primary liaison for clients and vendors, coordinating meetings and ensuring all communications are clear and effective.
  • Research & Sourcing: Perform research on potential leads or vendors, compiling information to assist in business decision-making, and prepare structured summaries and reports.
  • Video Updates & Training: Produce updates and instructional content using asynchronous tools like Loom, necessitating comfort with on-camera presentations.

Required Skills

  • Exceptional writing and communication abilities across diverse platforms including email, phone, Slack, and video.
  • Highly organized, detail-oriented, and proactive with a strong drive for efficiency.
  • A natural curiosity and eagerness to learn about new technologies and topics.
  • Familiarity with marketing tools such as website builders, Google Analytics, and design software like Canva.
  • Ability to manage multiple tasks and projects concurrently.
  • Prior experience in remote work, with an understanding of maintaining productivity independently.
  • Tech-savvy and capable of quickly mastering new tools; knowledge of Slack, ClickUp, and Loom is advantageous.
