Key Responsibilities
- Manage a high volume of incoming phone calls, ensuring accurate routing to the appropriate personnel or department.
- Provide a warm welcome to consumers, families, and visitors, assisting them with appointment check-ins to facilitate seamless interactions with our staff.
- Coordinate and schedule appointments, liaising effectively with consumers, staff, and other relevant parties.
- Oversee room reservations for meetings and conferences, while maintaining departmental calendars efficiently.
- Execute various clerical duties, such as filing, scanning, copying, and drafting correspondence.
- Accurately enter and maintain consumer data and related information in various databases and tracking systems.
- Assist in the compilation and organization of relevant information for the generation of reports and documents.
- Support the management of inventory by restocking supplies as necessary.
- Undertake additional related duties as assigned.
- Proficiency in Microsoft Office Suite and related applications.
- Strong customer service orientation and familiarity with general office functions.
- Ability to operate a computer efficiently, with accurate data entry skills.
- Excellent verbal and written communication abilities, with a focus on detail and proper grammar.
- Capability to manage multiple tasks in a fast-paced environment.
- Bilingual proficiency in English and Spanish is essential for this role.
- High school diploma or equivalent (GED).
- Minimum of 2 years of experience in office-related roles or equivalent positions.
