Job Overview

We are currently seeking a dedicated Office Assistant II to become an integral part of our dynamic team that focuses on offering exceptional services to individuals with intellectual and developmental disabilities. Key Responsibilities

  • Manage a high volume of incoming phone calls, ensuring accurate routing to the appropriate personnel or department.
  • Provide a warm welcome to consumers, families, and visitors, assisting them with appointment check-ins to facilitate seamless interactions with our staff.
  • Coordinate and schedule appointments, liaising effectively with consumers, staff, and other relevant parties.
  • Oversee room reservations for meetings and conferences, while maintaining departmental calendars efficiently.
  • Execute various clerical duties, such as filing, scanning, copying, and drafting correspondence.
  • Accurately enter and maintain consumer data and related information in various databases and tracking systems.
  • Assist in the compilation and organization of relevant information for the generation of reports and documents.
  • Support the management of inventory by restocking supplies as necessary.
  • Undertake additional related duties as assigned.

Required Skills

  • Proficiency in Microsoft Office Suite and related applications.
  • Strong customer service orientation and familiarity with general office functions.
  • Ability to operate a computer efficiently, with accurate data entry skills.
  • Excellent verbal and written communication abilities, with a focus on detail and proper grammar.
  • Capability to manage multiple tasks in a fast-paced environment.
  • Bilingual proficiency in English and Spanish is essential for this role.

Qualifications

  • High school diploma or equivalent (GED).
  • Minimum of 2 years of experience in office-related roles or equivalent positions.
