Key Responsibilities

  • Administrative Support:
    • Manage incoming phone calls, emails, and messages with professionalism and efficiency.

    • Prepare and disseminate documents, reports, and official communications.
  • Customer Service:
    • Deliver outstanding support to customers by addressing inquiries and resolving issues.
    • Ensure customer satisfaction by efficiently handling concerns.
  • Scheduling and Dispatch:
    • Coordinate and arrange appointments, tasks, and maintenance activities for the team.
    • Oversee logistics and dispatching of technicians to guarantee uninterrupted service delivery.
  • Data Entry and Bookkeeping:
    • Accurately input and manage financial records, including invoices and payments.
    • Assist with general bookkeeping and accounting responsibilities as necessary.
  • Special Projects:
    • Provide support for various projects, initiatives, and events as assigned.
Required Skills

  • Excellent communication, organizational, and time management skills.
  • Proficient in Microsoft Office applications (Word, Excel, Outlook).
  • Familiarity with customer relationship management (CRM) software and scheduling systems is an advantage.

Qualifications

  • A high school diploma or equivalent is required; a degree in Business Administration or a related field is preferred.
  • 0-2 years of experience in office administration, customer service, or comparable roles.
  • Certifications such as Certified Administrative Assistant (CAA) or Certified Customer Service Representative (CCSR) are considered beneficial but not mandatory.
