Job Title: Sponsorship and Event Logistics Coordinator

Location: Remote (Preferred locations: New York Metropolitan Area or Chicago)

Salary: \(55,000 - \)65,000

We are in search of a driven and meticulous professional to become a vital part of our team as a Sponsorship and Event Logistics Coordinator. In this role, you will be instrumental in managing various facets of event logistics and ensuring the effective execution of sponsorship initiatives. Your responsibilities will range from client engagement to the seamless coordination of onsite events, making you a key player in delivering impactful experiences. This remote position will require regular travel to live events.

Key Responsibilities

  • Act as the primary liaison for sponsors, ensuring their goals are achieved by managing inquiries, deliverables, and timelines.
  • Oversee all sponsorship logistics during live events, including setup and breakdown.
  • Provide support to the marketing team with additional tasks as time permits while onsite.
  • Coordinate sponsorship activations, such as private dinners, roundtables, and networking events at conferences.
  • Collaborate with the events team and venue partners to ensure successful logistical execution.
  • Work collaboratively with cross-functional teams, including digital, content, marketing, web, and design, to meet sponsorship deliverables.
  • Deliver regular updates to the team regarding event and sponsorship logistics.
  • Assist in generating reports to facilitate sponsor renewals.
  • Undertake additional responsibilities as required.

Required Skills

  • Exceptional organizational skills with meticulous attention to detail.
  • Proficient in time management and adept at prioritizing tasks.
  • Strong communication and interpersonal abilities, with a confidence in engaging with executive and C-level contacts.
  • Adaptability and a customer-focused approach to problem-solving.
  • Experience in customer service, project management, or administrative functions is advantageous.
  • Familiarity with Asana or similar project management platforms is a plus.

Qualifications

  • Bachelor's degree from an accredited institution.
  • Demonstrated ability to work effectively in a team environment.
  • Advanced proficiency in both written and verbal communication.
  • Strong multitasking capabilities and the ability to navigate competing priorities.
  • Minimum of 3 years of full-time professional experience in a corporate context.
  • Willingness to travel frequently.
