Job Title: Administrative Assistant

Join our esteemed organization as an Administrative Assistant, a pivotal role that underpins our team’s operations and contributes to our overarching success. As the initial point of contact for our institution, you will be instrumental in fostering a welcoming atmosphere for guests and ensuring the seamless functioning of front-desk activities. We are on the lookout for a distinguished individual who is methodical, forward-thinking, and eager to support our senior executives and management team.

Key Responsibilities

  • Front Desk Oversight: Warmly welcome guests and colleagues as they enter our office. Handle the management of incoming and outgoing correspondence, food deliveries, and maintain an organized reception area, Board Room, and refreshment stations.
  • Senior Leadership Support: Provide comprehensive assistance to senior banking managers and leaders, keeping them updated on upcoming commitments, managing their schedules, processing expense reports, and coordinating invoice payments and reimbursements across various departments.
  • Event Planning: Organize and facilitate events, seminars, and receptions as required. This includes coordinating logistics for both on-site and off-site meetings, arranging travel and accommodations, and preparing necessary meeting materials and resources.
  • Project Coordination: Spearhead special projects and conduct research to bolster departmental initiatives, often under pressing deadlines.
  • Documentation and Correspondence: Create and refine presentations, correspondence, and various documents using an array of software applications, including the Microsoft Office Suite. Ensure that all information is structured and conveyed clearly.
  • Supply Inventory Management: Order, receive, and maintain office supplies and equipment, as well as oversee the distribution of security access cards.
  • Process Enhancement: Continuously seek opportunities to improve and streamline existing processes, identifying potential challenges before they arise and proposing innovative solutions.
  • Marketing and Administrative Assistance: Provide support with assorted marketing functions and other administrative responsibilities as needed.
  • Liaison Duties: Act as a backup liaison with building management and maintenance.

Qualifications

  • High school diploma or equivalent required; a college degree or relevant professional experience in the banking or financial services sector is preferred.
  • A minimum of 3 years of progressively responsible experience in supporting senior management, ideally within a banking or financial institution.
  • Demonstrated professionalism, a commitment to excellence, and a flexible, service-oriented mindset.
  • Exceptional customer service abilities and a collaborative spirit.
  • Strong communication and listening skills, with the capacity to articulate technical information clearly.
  • Excellent organizational skills, attention to detail, and the ability to juggle multiple tasks and deadlines in a dynamic workplace.
  • Discretion in managing confidential information.
  • Proficiency in the Microsoft Office Suite (Word, Outlook, Excel, and PowerPoint).
