- Providing comprehensive executive support to the Vice President/COO, including managing a complex calendar, scheduling meetings, and prioritizing engagements.
- Executing various administrative tasks such as screening calls, handling correspondence, and maintaining orderly filing systems.
- Preparing for internal meetings by developing agendas, sending reminders, and ensuring follow-up on actionable items.
- Coordinating external meetings, managing attendee logistics, and preparing necessary materials.
- Supporting the Board of Directors through scheduling annual meetings, managing travel arrangements, and maintaining discretion in all communications.
- Collaborating with the Operations Team to ensure effective communication and scheduling of team meetings.
- Participating in weekly Administrative Team meetings to align on support needs and priorities.
The ideal candidate will demonstrate:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with Zoom.
- A strong work ethic, grounded in professionalism and a commitment to service.
- The ability to manage confidential information with integrity and discretion.
- Exceptional multitasking capabilities coupled with outstanding organizational and time management skills.
- Strong verbal, written, and interpersonal communication skills.
- The resourcefulness to function effectively both independently and as part of a collaborative team.
- A Bachelor's degree is preferred.
- 5-10 years of experience providing support to C-Level executives, ideally within a non-profit framework.
