Key Responsibilities
- Partner with the Director of Purchasing to create company-wide contracts.
- Formulate and enforce purchasing policies, processes, and strategies tailored for our hotel's needs.
- Lead and mentor the purchasing team to meet departmental goals.
- Prepare the annual budget for the Purchasing Department.
- Establish annual purchasing objectives focused on cost reduction and service enhancement.
- Research and identify optimal sources for materials and services.
- Assess requests for quotations and develop specifications for competitive bidding.
- Update and maintain the approved vendor list alongside senior management.
- Facilitate strong communication with department heads to align procurement activities.
- Review and modify contracts prior to General Manager approval.
- Oversee general storeroom inventory and manage purchase orders as necessary.
- Assist with monthly inventory assessments and maintain perpetual inventories for high-demand supplies.
- Ensure that the loading dock and receiving areas are clean and organized.
- Generate daily receiving logs and distribute them to relevant managers.
- Manage the receipt of packages with proper tracking and documentation.
- Inspect storage areas to ensure correct product placement and rotation.
- Communicate with department leads regarding shortages, damages, or refused items, developing prompt replenishment strategies.
- Supervise software systems related to package tracking and distribution.
- Execute additional responsibilities as required.
- High school diploma or equivalent required; a degree in business or purchasing is preferred.
- In-depth knowledge of purchasing functions, including policies, procedures, negotiations, and inventory management.
- Certification as a Purchasing Manager is advantageous.
- Proficiency in Microsoft Excel and Word is beneficial.
- Three to five years of purchasing experience with direct buying responsibilities.
- At least two years of supervisory experience required.
- Basic comprehension of accounting principles.
- Strong data entry capabilities.
