Job Overview

Join our dedicated team as an Assistant Event Coordinator in a remote capacity, where you will play a pivotal role in supporting the Director of Events and Senior Event Manager. This is a full-time hourly position that has the potential to evolve into a full-time salaried management role for the right candidate. This opportunity offers the chance to engage in a vibrant event planning environment, primarily focused on weddings from May to November.

Key Responsibilities

  • Assist in the coordination and execution of events on-site as necessary.
  • Ensure all event planning documentation and online resources are consistently updated and accurate.
  • Organize and maintain a collection of past event photos for easy access by the event management team.
  • Facilitate site visits for both prospective and current clients and vendors.
  • Create and dispatch planning documents and folders tailored for our clients.
  • Maintain an organized calendar, ensuring it reflects accurate scheduling.
  • Contribute to the planning of specialty events such as farm dinners and tastings.
  • Update communication templates to streamline interactions with clients and vendors.
  • Communicate effectively with vendors and clients during events to ensure smooth operations.
  • Manage inventory of decor items regularly to keep it organized and well-maintained.
  • Undertake additional tasks as assigned by event management.

Required Skills

  • Prior experience in a client-facing position.
  • Familiarity with the hospitality, food service, catering, or event planning sectors.
  • Knowledge of event timelines, logistics, and operational procedures.
  • Exceptional organizational skills and meticulous attention to detail.
  • Adaptability and a collaborative spirit to thrive in a team-oriented environment.
  • A strong desire to learn and progress within the event industry.
  • Self-motivated with a proactive attitude, committed to advancing in the company.
  • Ability to maintain composure and professionalism under pressure, especially in interactions with clients and guests.
  • Skilled in multitasking with an intuitive grasp of the requirements of event management.
  • Proficient in Google Drive, Gmail, Calendar, Docs, and Sheets, with experience in event planning software considered a plus.
  • Excellent verbal and written communication skills.

  • Experience in a client-facing role is essential.
  • Previous involvement in the hospitality or event planning industries is preferred.
  • A strong understanding of event timelines and logistics.

Compensation And Benefits
