Key Responsibilities
- Develop and execute comprehensive event plans, encompassing timelines, budgets, and resource allocation.
- Coordinate essential logistics, including venue selection, transportation, accommodations, and on-site operations.
- Collaborate with various internal teams and external vendors to guarantee flawless execution of events.
- Create and oversee event budgets, identifying areas for cost savings while upholding quality standards.
- Negotiate contracts with venues, caterers, AV suppliers, and other vendors to secure advantageous terms.
- Manage logistical aspects, including setup, breakdown, attendee materials, and equipment.
- Ensure compliance with health, safety, and legal regulations throughout the event process.
- Work alongside the marketing team to devise promotional strategies and communications for events.
- Oversee the registration process in partnership with the Registration Chair, including online systems and payment processing.
- Provide outstanding customer service to attendees and promptly address any inquiries.
- Establish standard operating procedures and train planning committees or staff members.
- Stay current with industry trends and best practices to continually improve event quality.
- Outstanding organizational and project management skills.
- Strong negotiation, communication, and problem-solving capabilities.
- Proficiency in Microsoft Office Suite and event management software (e.g., Cvent, PassKey).
- Familiarity with key performance indicators (KPIs) and marketing techniques relevant to event management.
- Willingness to travel domestically and internationally as required.
- Physical capability to lift 15-25 lbs and engage in tasks that involve bending or repetitive movements.
- Bachelor's degree in Event Management, Hospitality, Business Administration, or a related field is required.
- A minimum of 3-5 years in event planning and management, demonstrating a successful track record, particularly with large-scale events hosting over 5,000 attendees.
- CMP certification is highly preferred for candidates.
