Key Responsibilities
- Oversee and organize the executives’ calendars by scheduling meetings, appointments, and events.
- Facilitate travel arrangements, including booking flights, accommodations, and transportation.
- Act as the primary contact for all internal and external communications, ensuring inquiries are directed appropriately.
- Assist in preparing presentations, reports, and other essential documents as required.
- Maintain the organization of both physical and digital files and records.
- Conduct research and provide pertinent information to executives as needed.
- Monitor and manage the executives’ email inbox, highlighting urgent matters.
- Plan and organize special events, such as company meetings and team-building initiatives.
- Handle expense management and process reimbursements for executives.
- Perform additional administrative duties and ad hoc tasks as requested.
- Exceptional organizational and time-management capabilities.
- Strong written and verbal communication proficiency.
- Proficiency in Microsoft Office Suite and other relevant software.
- Discretion in handling confidential information.
- Proactive mindset, resourcefulness, and strong problem-solving skills.
- Ability to work independently, prioritize effectively, and meet deadlines.
- Flexibility to work occasional evenings and weekends as necessary.
- High school diploma or equivalent; a Bachelor’s degree in Business Administration or related field is advantageous.
- Demonstrated experience in a Personal Assistant role or similar capacity.
