Key Responsibilities
- Collaborate with Sales and Event Managers to strategically orchestrate all logistical dimensions of group events, including flight arrangements, hotel reservations, transportation, excursions, and dining preferences.
- Work in tandem with Event Managers to prepare mail merge lists for event materials, ensuring timely distribution of travel documents and information to clients, vendors, and guests.
- Partner closely with the Event Multimedia Specialist to oversee registrations and maintain event website updates.
- Maintain strict adherence to deadlines established by clients, vendors, and internal targets in collaboration with Event Managers.
- Review and authorize final versions of event-related communications before dissemination.
- Manage financial transactions associated with events, including client receipts and vendor payments.
- Ensure accurate accounting records for each group event, with collaboration from the Event Manager, and provide financial reports pre- and post-trip.
- Participate in PreCon meetings and other crucial gatherings to facilitate seamless event execution.
- Be accessible while working remotely, especially when not accompanying assigned groups.
- Guide Operations Coordinators and/or Operations Support in their assignments, ensuring clarity and efficiency in project tasks.
- Maintain comprehensive documentation and spreadsheets utilizing Trello and Google Drive, adhering to established Standard Operating Procedures (SOPs).
- Take initiative in developing necessary Standard Operating Procedures for assigned Subject Matter Expert topics.
- Actively contribute to company projects and operational enhancements as required.
- Demonstrate a proactive and agile approach to managing group events and provide timely project updates.
- Effectively resolve issues with confidence and efficiency, responding promptly to urgent matters.
- Communicate effectively with clients, guests, team members, and vendors, upholding a high standard of responsiveness.
- Organize and prioritize multiple tasks to manage various projects concurrently while meeting deadlines.
- Exhibit professionalism by adhering to established guidelines during travel and in all interactions.
- Collaborate effectively with internal departments to elevate the overall customer experience.
- Embrace a leadership role by mentoring team members and fulfilling essential Event Manager responsibilities when necessary.
- Serve as a role model, demonstrating professionalism in all engagements and following appropriate escalation paths when required.
- A minimum of one year of experience in event planning or project management.
- Preferably experience in the hospitality industry.
- A bachelor's degree in business, event management, or hospitality is preferred.
- This role necessitates regular domestic and international travel, potentially exceeding two trips each month. Expect to dedicate 20-30% of your working hours traveling with customer groups.
- Capable of consistently talking, hearing, seeing, and using hands and arms for extended periods.
- Ability to stand, walk, kneel, and crouch occasionally for extended durations (10-16 hours).
- Ability to lift up to 10 pounds consistently and up to 50 pounds occasionally.
