Reporting directly to the Director of Sales, you will be instrumental in managing incoming Trade Account applications, responding to general inquiries, and providing assistance to Account Executives with diverse order processing tasks. Your efforts will enable our team to concentrate on business development and strengthen relationships with our esteemed clients.
Key Responsibilities
- Enter new Trade Account applications into our system, promptly informing the respective Account Executive that the account is set up and ready for outreach.
- Handle general inquiries submitted through our website contact form or general inquiry inbox, and assist with phone communications by routing clients to the relevant Account Executive or department.
- Process Design Trunk purchase orders submitted via the website, notifying the Shipping department that the request is primed for fulfillment, and alerting the associated Account Executive of any purchases made by clients in their territory.
- Input and occasionally adjust non-revenue generating orders on behalf of the Sales Team, which may include sample requests, swatches, photoshoots, and hospitality donations.
- Verify product availability for upcoming events to ensure that items are accessible prior to sampling.
- If needed, submit Inventory Addition Requests with Production based on product availability.
- After entering orders and any related requests, notify the Account Executive that the order is prepared for submission to the client, along with any pertinent information regarding availability or product assortment.
- Generate a daily Balance Report and process Balances Due for all orders with a current Final Date for Changes, sending receipts and proof of paid invoices to the client contact on file.
- Strong mathematical aptitude, capable of calculating discounts, proportions, and percentages.
- Exceptional organizational skills and meticulous attention to detail.
- Competent in reading, analyzing, and interpreting business documents effectively.
- Bilingual proficiency in English and Spanish is advantageous.
- Proficiency in IntelliEvent software and familiarity with CRM systems and order management software.
- A proactive attitude toward learning and swiftly mastering new systems.
- A Bachelor's Degree from an accredited four-year institution is preferred.
- A minimum of 2 years of experience in the Event or Hospitality Industry, preferably in Sales, Administration, or Accounting roles.
