As a valued member of our team, you will also play a pivotal role in mentoring and guiding junior Travel Coordinators and Associates, cultivating an environment of inspiration and joy in travel.
Key Responsibilities
- Engage thoughtfully with ultra-high-net-worth clients through email, phone, and in-person interactions.
- Research and propose bespoke destinations, culinary experiences, and activities that resonate with client preferences.
- Coordinate custom travel arrangements with luxury suppliers, including hotels, operators, and independent guides.
- Collaborate with hotel concierges to secure exclusive dining, entertainment, and transportation reservations.
- Develop comprehensive travel itineraries from initial concepts to final trip execution using our specialized itinerary-building tool.
- Maintain meticulous records and track client trip timelines in our online systems.
- Ensure all client itineraries are confirmed before departure, consistently meeting or exceeding sales goals.
- Mentor and train Travel Coordinators and Associates, effectively delegating tasks to enhance team performance.
- Manage client invoices and payment processes efficiently, submitting requests as required.
- Utilize company tools such as Salesforce and Sabre to streamline planning and operations.
- Participate in meetings, events, and familiarity trips (weekend travel may be required).
- Document feedback and scouting reports in our CRM system following each trip.
- Contribute to brainstorming discussions aimed at supporting strategic growth initiatives.
- Bachelor's degree and residency in New York is required.
- At least 2 years of experience in luxury travel consultancy or relevant client-facing roles.
- Extensive international travel experience with a minimum of 20 countries visited, alongside in-depth knowledge of luxury offerings.
- Exceptional verbal and written communication skills, with a talent for persuasive presentations.
- Proven ability to create distinctive experiences for an elite clientele.
- Ability to remain composed and positive in high-pressure situations.
- Strong collaborative team player with a proactive approach.
- Excellent work ethic and willingness to exceed expectations, including after-hours commitments when needed.
- Resourceful and adaptable, with strong problem-solving capabilities.
- Detail-oriented with excellent time management and organizational skills to manage multiple projects simultaneously.
- Proficient in MS Office (especially Excel); experience with Salesforce and Adobe Suite is advantageous.
