Key Responsibilities
- Streamline the sales process by coordinating vehicle deliveries upon receipt of deposits.
- Establish and maintain both physical and digital sales records following the receipt of deposits or purchase orders.
- Accurately enter sales and vehicle documentation into Salesforce to ensure up-to-date record-keeping.
- Oversee Manufacturer's Statement of Origin (MSO) management and conduct inventory floor plan audits.
- Monitor factory build dates, make necessary updates in Salesforce, and communicate relevant changes to Sales Executives and customers.
- Initiate contact with customers one month prior to vehicle arrival to commence the delivery process, ensuring a seamless experience.
- Facilitate registration, financing, pre-delivery inspections (PDI), and payments, keeping Sales Executives informed throughout.
- Finalize necessary paperwork with the corporate office, including registrations, purchase order reconciliations, vendor payments, and other administrative tasks.
- Prepare and manage DMV-related paperwork to ensure prompt vehicle registration.
- Collaborate effectively with the service department and external vendors to coordinate vehicle readiness and deliveries.
- Provide comprehensive administrative support to the sales department, which includes generating reports and addressing ad hoc tasks.
- Update inventory records in Salesforce, including tracking arrival dates, estimated times of arrival (ETAs), and location changes.
- Efficiently manage incoming sales calls, routing them to the appropriate Sales Executive to ensure timely customer service.
- Exceptional organizational abilities and meticulous attention to detail.
- Strong multitasking capabilities with the ability to prioritize in a fast-paced setting.
- Excellent communication skills to foster collaboration with internal teams and customers.
- Familiarity with Salesforce or similar CRM software is preferred but not mandatory.
- A solid understanding of vehicle registration and financing processes will be advantageous.
