Key Responsibilities
- Deliver comprehensive administrative assistance for regional Training and Technical Assistance (TTA) contract activities, collaborating closely with the Regional TTA Coordinator and Regional Office.
- Organize and coordinate events for regional TTA meetings, including virtual sessions that facilitate knowledge sharing and community building.
- Execute general clerical tasks such as data entry, recordkeeping, and document management to ensure seamless operations.
- Collect and prepare data from various governmental systems to effectively monitor and report on TTA activities.
- Aid the Regional TTA Coordinator in preparing accurate and timely monthly and quarterly reports, as well as travel plans, while maintaining updated Enterprise System records.
- Support the development of the annual regional Office of Head Start (OHS) Professional Development Plan.
- Undertake additional responsibilities to support the TTA Coordinator and respond to requests from the Contracting Officer Representative (COR).
- Strong proficiency in data aggregation and report generation from diverse sources.
- Proficient in Microsoft Office Suite or comparable tools.
- Excellent verbal and written communication skills, with the ability to engage with various audiences effectively.
- Exceptional organizational abilities, capable of managing multiple tasks and meeting stringent deadlines.
- Experience in providing administrative support to remote teams, particularly in project or contract settings.
- Preferred background in event planning and coordination.
- Keen attention to detail and adeptness at prioritizing tasks.
- Proven problem-solving skills and sound judgment in making decisions.
- Strong interpersonal skills, fostering collaboration and relationship-building with colleagues, clients, and supervisors.
- Familiarity with MS Teams, SharePoint, and Monday.com is advantageous.
- A two-year college degree from an accredited institution is preferred.
