Key Responsibilities
- Communication & Coordination: Handle phone calls, respond to emails, and guide visitors to the appropriate personnel. Maintain an organized filing system for departmental documentation, including relevant accreditations.
- Faculty Support: Assist faculty members in arranging travel, meetings, and events. Prepare and submit travel and reimbursement reports for faculty and students.
- Meeting Support: Act as a recording secretary during meetings, compile meeting minutes, and distribute them as required.
- Reporting & Documentation: Research, gather, and compile pertinent information to generate reports or documents. Contribute to department newsletters and assist with budget management.
- Office Management: Maintain calendars for departmental staff, monitor office supply inventory, and replenish supplies as necessary. Ensure smooth operations by overseeing work-study students and other student assistants.
- Software Utilization: Demonstrate proficiency in office software (word processing, spreadsheets, and presentations) as well as campus-specific software for managing databases, scheduling, budgeting, and curriculum records.
- Student Support: Assist students by directing them to the appropriate faculty or staff for their needs, utilizing BANNER and Oredigger Web to access student records.
- Strong interpersonal, public relations, and communication abilities, with a talent for collaborating with diverse groups and providing exemplary customer service.
- Proficient problem-solving skills, capable of addressing conflicts and challenging situations with professionalism and timeliness.
- Excellent organizational skills, keen attention to detail, and the ability to prioritize tasks effectively.
- Proficiency in basic office equipment (copiers, scanners, fax machines) and familiarity with standard office practices and procedures.
- Expertise in computer software applications, including word processing, spreadsheets, and databases.
- High School Diploma and a minimum of 3 years of office administration experience are required.
- Experience in higher education is preferred. An Associate Degree or higher is also desirable.
