Job Overview

We are looking for a detail-oriented and highly efficient Administrative Coordinator to join our team in a remote capacity. In this pivotal role, you will provide vital administrative assistance to our management team, ensuring seamless operations across our regional offices. Your contributions will encompass a diverse array of responsibilities, including project management, event planning, and logistical coordination.

Key Responsibilities

  • Deliver comprehensive administrative support to promote operational excellence and align with the organization’s strategic objectives.
  • Facilitate effective communication and logistical needs among regional offices utilizing various online platforms such as Webex, Zoom, Teams, and Google Docs.
  • Oversee project management timelines to preemptively address operational support requirements, ensuring adherence to all deadlines.
  • Coordinate activities and scheduling for events, including staff meetings and retreats.
  • Manage incoming and outgoing correspondence and ensure timely responses and follow-ups.
  • Assist in the preparation, proofreading, and editing of reports, presentations, and other documentation.
  • Maintain an orderly and efficient filing system for the Regional Director’s documentation, ensuring accessibility and proper distribution.
  • Document meeting minutes, develop follow-up action plans, and monitor progress toward objectives.
  • Support social media and online communication tools to enhance internal collaboration.
  • Aid in the forecasting and organization of annual staff development and training initiatives and monitor training outcomes.
  • Assist with payroll processing and human resources functions for the Regional Director.
  • Prepare and manage expense reports and oversee the processing of invoices for prompt payment.
  • Conduct research to support ongoing corporate and operational projects.
  • Assist in managing procurement processes, including vendor communication and document tracking.
  • Plan and coordinate logistics for regional and company-wide events, such as venue arrangements and equipment needs.
  • Organize travel logistics for the Regional Director and other personnel, including accommodations and transportation.
  • Support in drafting performance evaluations and managing confidential HR documents.
  • Ensure effective communication of updates, policies, and procedures across regional offices.
  • Oversee the setup of meetings, including necessary resources and catering arrangements.
  • Manage office supplies to optimize resource utilization across regional offices.
  • Review travel documentation for compliance and completeness.
  • Work collaboratively with the fiscal department to ensure accuracy in financial reporting and audit adherence.
  • Execute additional duties as assigned, demonstrating flexibility to meet the evolving needs of the organization.

Required Skills

  • Exceptional organizational and office management competencies, particularly in a remote setting.
  • Strong adeptness in word processing, spreadsheets, databases, and online tools, with proficiency in Office 365, Google Docs, and social media platforms.
  • Excellent writing and editing capabilities.
  • Bilingual proficiency in English and Spanish is preferred.
  • Outstanding interpersonal skills, facilitating effective interaction with team members and stakeholders.
  • Adaptable, with the ability to operate effectively in both office and home office environments.
  • Capability to handle confidential information with the utmost discretion.
  • Willingness to travel within Texas as required.

Qualifications

  • A Bachelor's degree is preferred or a combination of relevant education and experience.
  • Minimum of three years in an administrative support role assisting upper management, including CEOs and Directors.
  • Preferred experience in project coordination and personnel management.
  • A professional demeanor and appearance are essential.
