Key Responsibilities
Your duties will encompass, but are not limited to:
- Balancing in-office and remote work as required.
- Assisting comprehensively with probate and estate administration processes from initiation to conclusion.
- Supporting trust administration tasks from start to finish.
- Drafting probate documentation with minimal oversight from the attorney.
- Maintaining an organized calendar of court pleadings and deadlines.
- Engaging with clients, financial institutions, and beneficiaries to collect essential information.
- Promptly responding to client inquiries via email and phone.
- Preparing requisite documents for the transfer of securities.
- Filing claims for insurance proceeds and death benefits.
- Managing accounts for estate or trust administration.
- Corresponding with the Probate Court as necessary.
- Handling incoming communications from clients and the Probate Court regarding cases.
- Ensuring accurate timekeeping.
- Administering all aspects of estate management, including asset identification, collection, tracking expenditures, and distributing assets to beneficiaries.
- Drafting Receipt and Release Agreements.
- Functioning as a liaison among attorneys, clients, accountants, financial planners, and appraisers.
- Calculating filing fees and fiduciary commissions.
- Obtaining asset valuations and assisting with the division of assets and trust funding.
- Balancing financial accounts and brokerage statements.
- Assisting clients in locating appropriate appraisers for properties.
- Contacting relevant companies to close remaining accounts and credit cards.
- Coming prepared to team meetings to discuss the progress of open files.
- Tracking client-advanced expenses for reimbursement.
- Drafting correspondence to creditors in cases of estate insolvency.
- Following up with creditors to settle debts or confirm the write-off of balances.
- Digitally organizing all estate and trust administration documents.
- Preparing mailings as required for the administration process.
- Performing other assigned tasks as necessary.
- Strong organizational proficiencies.
- Exceptional communication and interpersonal abilities.
- Proficiency in collaborative teamwork.
- Competence in Office 365, particularly Excel.
- Familiarity with practice management software preferred.
- Strong time management skills.
- Effective problem-solving and analytical abilities.
- Professional demeanor and communication effectiveness.
- College Degree and/or Paralegal Certificate.
- 2-5 years of experience in probate and trust administration within New Hampshire and Maine.
- Experience in banking or finance, especially with related documents, is a plus.
- Notary Public certification is advantageous.
- Ability to work collaboratively within a team environment.
