Position Overview: 

The Case Manager plays a critical role in overseeing and managing Removal Defense and Motions cases, ensuring timely completion and compliance with all deadlines. This role requires strong project management skills, accountability, and adaptability in a fast-paced, evolving environment. The Case Manager will monitor case progress, assign and track tasks, and collaborate with attorneys and legal teams to drive efficiency and successful outcomes.

The Case Manager reports directly to the Department Manager and works closely with the Supervising Attorney, the legal team, and cross-departmental teams to support the firm’s mission of achieving operational excellence.

Key Responsibilities:

Case Coordination & Workflow Management

  • Oversee and manage all Removal Defense cases, for detained and non-detained clients, to ensure timely progress and adherence to deadlines.
  • Assign and track case tasks, set deadlines, and actively monitor completion to prevent bottlenecks.
  • Conduct regular follow-ups with team members to confirm timely case progression and escalate delays as needed.
  • Monitor communications (emails, case management software) for updates on hearing schedules, filing deadlines, or case developments and take immediate action.
  • Provide structured updates to attorneys, team members, and leadership regarding case status, priority changes, and urgent matters.
  • Identify and resolve workflow inefficiencies by working with legal teams to optimize task distribution and case processing.

Deadline and Priority Management:

  • Track and manage case priorities based on urgency, legal deadlines, and client needs.
  • Maintain a live deadline calendar with filing dates, hearings, and submission timelines, ensuring all stakeholders remain informed.
  • Ensure strict compliance with deadlines by actively managing follow-ups, verifying task completion, and addressing risks early.
  • Balance workload distribution by assigning cases and tasks based on urgency, team capacity, and overall firm goals.
  • Provide structured updates on priorities:
    • Daily: High-priority cases, urgent deadlines, and emergency updates.
    • Weekly: Broader case progress reports, trends, and anticipated risks.
  • Escalate non-compliance, delays, or performance gaps to leadership, providing data-driven insights for corrective action.

Organize Deadlines and Case Assignment:

  • Develop and implement a case tracking system to monitor deadlines and prevent missed milestones.
  • Assign cases strategically to ensure team balance and meet both individual and department-wide performance goals.
  • Continuously reassess and rank case priorities to optimize workflows and reallocate resources as needed.
  • Introduce process improvements by identifying inefficiencies and recommending workflow adjustments to leadership.

Attorney & Department Collaboration

  • Work closely with attorneys to align case strategies, prioritize actions, and ensure deadlines are met.
  • Ensure attorneys receive timely updates on case statuses, potential risks, and urgent developments.
  • Support attorneys with case documentation preparation, ensuring all materials are complete, accurate, and submitted on time.
  • Facilitate communication between attorneys and the case management team to streamline workflows and resolve process bottlenecks.

Process and Performance Support:

  • Collaborate with the Operations team to address inefficiencies and propose process improvements.
  • Support performance management by identifying and resolving process-related issues.
  • Identify and report deviations from established procedures to the head of the department.

Risk & Compliance Management

  • Identify risks related to case progression, such as missing documentation or potential missed deadlines.
  • Collaborate with teams to mitigate risks and enhance workflow processes.
  • Ensure compliance with all legal and procedural requirements.

Required Experience & Qualifications

  • Experience in Removal Defense or a similar legal case management role is highly preferred.
  • Project management experience (minimum 1 year) in managing workflows and deadlines.
  • Familiarity with case management software and office tools.
  • Strong ability to manage multiple cases simultaneously while prioritizing tasks efficiently.
  • Ability to analyze case data, performance metrics, and operational processes.

Educational & Certification Preferences

  • Bachelor’s degree in Business Administration, Industrial Engineering, or a related field (preferred).
  • Certifications in Project Management or Six Sigma (a plus).
