Position Summary:
The Office Supervisor is responsible for overseeing the daily operations of the legal operations team, ensuring that all processes are adhered to, work is accurate, and efficiency is maintained. This role involves supervising staff performance, resolving issues, and implementing improvements to enhance overall efficiency in legal operations. Additionally, the Office Supervisor coordinates activities, manages administrative tasks, and ensures a productive and organized work environment. The role is crucial in upholding high standards, addressing staff concerns, and facilitating effective communication within the team.
Responsibilities:
- Lead and supervise assigned teams using the applicable KPIs..
- Track daily metrics/goals. Understand why goals are or are not being met. Make sure quality of work matches quantity. Report performance results to the legal operations manager.
- Supervises process, adherence to company policies and procedures, and ensures smooth operations
- Work with the operations team, and look into quality control issues for continued education for established team members, and new training for new team members.
- Regularly report to the Legal Ops Manager s on departmental performance, highlighting any potential inefficiencies, bottlenecks, or areas of improvement.
- Conduct regular Performance Evaluations for team members to provide feedback on work quality, work efficiency, and areas of improvement and recognize outstanding performance.
- Collaborate with the Legal Ops Manager and Process Improvement and Implementation manager to develop and implement strategies and initiatives aimed at optimizing departmental efficiency and effectiveness.
- Partner with HR for all employee relations matters such as; performance, attendance, and disciplinary actions for employees not meeting expectations.
- Open communication with team members, understand concerns and provide solutions for team members possible concerns.
- Promote a positive, safe and secure work environment
- Foster a culture of accountability within the team, ensuring that individual and team performance goals are aligned with the company's objectives.
- Coordinate training with Team Leads as necessary.
- Support leadership development for Team Leads and Assistant Supervisors
- Approve and manage employee’s timesheets as necessary.
- Manager PTO/Time off request and coordinate coverage.
- Identify and report hiring priority to the HR Department and interview candidates based on the company’s needs.
- Conduct regular shadowing sessions to observe and document team members' workflow and processes to identify potential inefficiencies, bottlenecks, or areas for improvement.
- Other duties may be assigned
Requirements and skills:
- Bachelor’s degree
- 2-5 year of relevant experience in Supervising others
- Time Management Skills
- Ability to analyze data, track performance metrics, and utilize them to drive performance improvements.
- Strong leadership skills, and experience with managing teams effectively.
- Superior organization skills and the ability to juggle multiple deadlines.
- Ability to work independently and to work as part of a team.
- Strong written and verbal communication skills
- Demonstrated ability to work confidently and collaboratively with individuals at all levels of the organization.
- Optimistic in a high-stress environment.
- Proficient in Google Workspace, Adobe Creative Suite (specifically - InDesign, Photoshop)
- Ensure confidentiality of all the firm and client's documentation and information
- Bilingual (English / Spanish)
