Summary:
The Strategic Operations & Communications Specialist tasks will include: supporting strategic operations and executive communications initiatives and People & Business Services enterprise communications. This individual will support a wide range of initiatives, both planned and ad-hoc, in managing operationally, story building, socializing, project management, and acting as a creative consultant.
General Duties / Expectations of Role:
- The PBS Strategic Operations Specialist will support deck development for Executive Leadership Team and Board of Directors meetings, including management of the timelines, collecting information from HR Centers of Excellence (COEs) to input into these decks, and coordinating with Communications and external vendors to have decks designed.
- Partner with Enterprise Change team to support the broader People and Business Services function (Centers of Excellence (COEs) within it) in writing email, Vine and other communications
- Write and manage approval process for leadership personnel announcements (new hires, promotions)
- Develop communications campaigns and messaging that ties to corporate priorities and PBS messaging
- Ensure a consistent People voice & brand across all deliverables
- Projects include but are not limited to: email communications, internal company news articles, internal website content, internal PowerPoint deck content and design.
- Partner with the COEs in PBS and Corporate Communications to ensure teammates are kept abreast of communication projects
- Manage the PBS editorial calendar in partnership with Corporate Communications. Lead weekly calls to ensure alignment on deliverables
- Manage the approval process for all communications, which includes obtaining feedback from the COE point of contact, Corporate Communications, and Legal Affairs
- Manage the PBS Synergy documents including PBS List, Calendar(s), etc
- Support the development and maintenance of communications guidelines/templates/ processes/procedures
- Take ownership of uploading and managing edits provided during legal review process within Veeva platform and management for Change Management site and Vine (Enterprise Intranet)
- Support planning and facilitation of Department Meetings including recurring Huddles and periodic Off-sites
- Coordination of topics, presentation materials & collaborating with Facilities Event planning team
Requirements:
- Bachelor’s degree in Business, HR, Communications, or related field
- 6 years’ experience in Corporate Internal Communications/storytelling
- Advanced knowledge of PowerPoint
- 6 years’ experience working with cross-functional teams in a matrix environment for projects, and campaigns with various stakeholders
- Strong verbal and written communication skills, especially with Executive Suite
Nice to Have:
- Strong Graphic Design within Power Point
- Familiarity with graphic design programs (e.g., Canva)
- 3 years of relevant work experience in pharma/biotechnology/life sciences
- 4 years of relevant work experience in HR/ Management Consulting
- Experience in an Operations role
Start/Terms:
- 6-12 month contract, opportunity to extend
- Hybrid - Princeton, NJ
