The Administrative Assistant will provide administrative and office support to the Corporate department. Duties include general clerical, receptionist and assist in project-based work. The schedule for this position is Monday to Friday, 8:30am to 5:00pm or 9:00am to 5:30pm.
Essential Functions:
Perform administrative and office support to the Corporate department.
Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
Establish, maintain, and update files, records, certificates, and/or other documents.
Screen telephone calls, take messages and/or redirect inquires to the appropriate office.
Arrange meetings and conferences; create, transcribe, and distribute meeting agendas.
Make travel arrangements, such as plane reservations, hotel accommodations and auto rentals.
Take inventory and order office supplies as needed. Keep adequate stock.
Maintain multiple calendars. Schedule and cancel meetings and appointments, as requested, using proper judgment as to time and location. Reserve conference rooms as requested.
Meet and greet clients and visitors.
Prepare a wide variety of confidential correspondence and reports; drafts memos/letters and e-mails.
Prepare monthly expense reports.
Support staff in assigned project-based work.
Report PC, Printer, Fax errors to the Information Technology department.
Additional Responsibilities:

Job Qualifications: General Knowledge, Skills, and Abilities (KSA’s) required
Experience in Microsoft Office Suite a must.
Must possess a professional, polished image through in-person and phone interaction.
Excellent communication skills, both written and verbal.
Well developed and multi-tasking, organizational skills, and detailed oriented.
Ability to work in fast-paced environment and work well under stress.
Ability to handle sensitive information and keep strictly confidential.
Candidate must be dependable and reliable.
