Responsibilities/Duties/Functions/Tasks
- Manage daily operations, efficiency, and productivity of the (4) clinics.
- Providing daily oversight and guidance to employees.
- Write weekly schedules
- Conduct monthly meetings with staff on office policy and procedure changes.
- Attend monthly meetings with Practice Managers within the organization.
- Maintain a good working relationship with satellite offices management team and the entire leadership team
- Resolving patient issues in-person or over the phone.
- Support staff when staffing shortage: answer phones, chart prep, scheduling, and rooming patients.
- Travel between locations as needed
- Working knowledge of our Central Call Center processes.
- Working knowledge of the Front Desk policies and procedures
- Assists in recruiting, hiring and training of staff.
- Working knowledge of outlook, word, excel.
- Provide daily guidance to staff, remaining visible throughout the day.
- Weekly monitoring of pathology, radiology tracking books, bumped lists, ERX, messages, document queues, etc.
- Monitor MA’s documents, messages and Rx’s to make sure work is completed timely.
- Responsible for helping to manage personnel related activities including, time off requests, disciplinary documentation, performance evaluations and overtime management.
- Directs phone and computer problems to IT
- OSHA compliance
- Audits of the clinical staff. (work and safety issues)
- Monitoring the ordering of medical supplies.
- Coordination of completion on setting up/tracking of classes/testing for clinical staff.
- Establish and maintain effective working relationships with employees and management.
- Define needs in complex situations and works toward resolution, bringing in Human Resources and Physicians when necessary.
- Recommends transfers, promotions or terminations of employees when indicated with review of Human Resources.
- Establishes goals for clinical side of practice, works with other departments in carrying out practice goals.
- Traveling to other office locations daily/weekly.

Qualifications
EDUCATION: Bachelors Degree is preferred.

- Knowledge of medical terminology and insurance practices.
- Knowledge of computer programs and applications.
- Knowledge of CPT and ICD-10 coding.
- Knowledge of managed care, Medicare, and Medicaid guidelines.
- Skill in effective personnel management including training staff and delegating duties.
- Skill in written and verbal communication.
- Ability to work effectively as a team member with physicians and other staff.
- Ability to flexibly respond to changing demands.
- Ability to plan, organize, prioritize and direct the work of others.
- Ability to sort and file materials correctly by alphabetic or numeric systems.
- Ability to establish and maintain effective working relationships with patients, employees, and the public.
- Prior experience interviewing candidates and determining staffing needs.
- Experience credentialing physicians and mid-level providers
- Experience managing patient issues
